Job summary

Futura Surgicare in Bengaluru, Karnataka, India, is seeking an Order Planning & Delivery Coordinator to drive on-time order fulfillment. You will synchronize customer priorities with production, monitor artwork, packing, and dispatch, and maintain up-to-date delivery plans across plant functions.

The role emphasizes cross-functional coordination with Purchase, Stores, Quality, and Sales, tracking lead times, inventory, and delivery performance, and supporting audits with accurate order trackers

Responsibilities

  • Receive customer order priorities, schedules, and delivery requirements from the Sales / customer-facing team and maintain a current open-order tracker.
  • Review each order for material availability, artwork status, production readiness, quality release requirements, packing, and dispatch dependencies.
  • Prepare and update order-wise delivery plans based on actual status and communicate priorities to the concerned plant functions.
  • Identify constraints that may affect committed delivery dates and escape them early to the General Manager Plant with the latest factual status.
  • Share consolidated material availability, order priority, artwork status, and required delivery dates with Production for planning and execution.
  • Track plan versus actual production, WIP movement, backlog, pending operations, and expected completion dates for open deliverables.
  • Coordinate with Production, Quality, Stores, Packing, and Finished Goods teams to ensure smooth movement of orders through each stage.
  • Assist the plant team in resolving routine coordination gaps and maintain clear action / recovery trackers for delayed orders.
  • Obtain regular updates from Purchase on pending materials, expected receipt dates, quantity shortfalls, and other material-related constraints.
  • Obtain actual stock and availability status from Raw Material Stores for raw materials, packing materials, and other items required against open orders.
  • Consolidate Purchase and Raw Material Stores information into an order-wise material availability / shortage status and share it with Production and the General Manager Plant.
  • Track critical shortages and near-stockout items until availability is confirmed and immediately communicate any change that may affect production or delivery lead time.
  • Act as the coordination point between Purchase, Raw Material Stores, and Production for material-status information required to execute customer orders.
  • Take updates from Purchase on expected inward dates and from Raw Material Stores on actual received / available quantities; do not independently place or negotiate purchases.
  • Pass confirmed material availability and expected inward information to Production so that the production sequence and delivery plan can be updated.
  • Maintain a concise pending-material tracker showing requirement, available quantity, expected receipt date, affected order, and impact on delivery.
  • Act as the single point of contact within the plant for the status of all order deliverables from material readiness through production, quality release, packing, finished-goods availability, and dispatch.
  • Calculate the realistic lead time and expected delivery date for each order using material availability, artwork approval, production cycle, quality release, packing, and dispatch readiness.
  • Maintain an order-wise committed delivery date, revised expected date, actual dispatch date, delay reason, and recovery-action tracker, and provide timely status updates to the General Manager Plant and concerned teams.
  • Follow up with the concerned internal / customer-facing team for pending artwork approvals required before printing, packing, or production completion.
  • Maintain an artwork approval tracker and ensure the latest approved artwork status is communicated to Production, Packing, Quality, and other relevant plant teams.
  • Track final order readiness and coordinate with Finished Goods Stores / dispatch teams so that completed deliverables are dispatched against the confirmed schedule.
  • Calculate delivery performance by comparing confirmed / committed delivery dates with actual dispatch or delivery dates, as defined by the company reporting system.
  • Prepare monthly on-time delivery performance, delayed-order analysis, and major delay reasons for review by the General Manager Plant.
  • Identify recurring causes of delivery delay such as material availability, artwork approval, production, quality release, packing, or dispatch and support corrective follow-up with the concerned plant team.
  • Identify and report risks that may affect order delivery, including material shortages, artwork delays, production constraints, quality holds, packing delays, and dispatch constraints.
  • Maintain agreed recovery and follow-up actions under the guidance of the General Manager Plant and keep the affected order status current.
  • Follow approved SOPs, traceability requirements, document-control practices, and applicable ISO 13485 / Quality Management System requirements.
  • Support internal and external audits by providing relevant SCM records, order trackers, delivery-performance records, and implementation evidence as assigned.
  • Prepare periodic SCM MIS covering open orders, material availability, artwork approvals, production status, backlog, expected delivery dates, dispatch status, and delivery performance.
  • Ensure order, material, lead-time, and delivery data are complete, accurate, traceable, and updated within agreed timelines.
  • Analyse recurring delivery delays and coordination gaps and support practical improvement actions with the concerned plant functions.
  • Maintain action trackers from plant / supply-chain review meetings and follow assigned actions through to closure.
  • Work closely with Purchase, Raw Material Stores, Production, Quality, Packing, Finished Goods Stores, Sales / customer-facing teams, and Dispatch to keep all deliverables aligned.
  • Provide day-to-day coordination support to the plant team, obtain status updates within agreed timelines, and escalates only those issues requiring management support or decisions
