Job summary

Welspun Corp Limited in Gujarat seeks a detail-oriented Dispatch Manager to oversee daily dispatch operations for finished goods. The role requires coordinating with Production, Warehouse, Sales and Logistics to ensure timely, accurate and cost-effective deliveries aligned with sales orders.

The ideal candidate will manage documentation, track shipments, and ensure GST/e-way bill compliance while controlling dispatch costs and supervising loading activities.

Qualifications

• Must have strong dispatch planning experience in manufacturing
• Knowledge of GST and e-way bills compliance is preferred
• Experience coordinating with Production, Warehouse, Sales and Logistics teams
• Ability to manage and reconcile dispatch documentation and MIS

Responsibilities

• Plan, schedule and execute daily dispatch operations
• Coordinate with Production, Warehouse and Sales teams for readiness and timely dispatch
• Prepare and verify dispatch documents incl. invoices, e-way bills, LR and packing lists
• Coordinate with transporters for vehicle placement and dispatch execution
• Track shipments and resolve delays and issues
• Maintain dispatch records and MIS reports
• Ensure GST and e-way bill compliance and safety procedures
• Monitor dispatch costs and identify savings opportunities
• Respond to customer queries regarding dispatch status
• Supervise loading to ensure accuracy and safe handling
• Coordinate with Finance, Sales, Warehouse and Logistics to resolve discrepancies
• Maintain updated dispatch registers and transporter details

Job Purpose / Summary

To manage and coordinate the dispatch of finished goods to customers, ensuring timely, accurate, safe and cost-effective deliveries in line with sales orders and delivery commitments. The role involves coordinating with Production, Warehouse, Sales and Logistics teams, managing transportation arrangements, verifying dispatch documentation, tracking shipments and ensuring compliance with applicable statutory requirements and company SOPs.

Job Description

Plan, schedule and execute daily dispatch operations in accordance with sales orders, delivery schedules and customer commitments.

Coordinate with Production, Warehouse and Sales teams to ensure product availability, readiness and timely dispatch.

Prepare and verify dispatch documents, including invoices, delivery challans, e-way bills, lorry receipts (LRs. and packing lists, ensuring accuracy and compliance.

Coordinate with transporters and logistics partners for timely vehicle placement, material movement and dispatch execution.

Track shipments and proactively resolve transit delays, transportation issues and delivery-related concerns.

Maintain accurate dispatch records, shipment details and MIS reports, including reconciliation of dispatched quantities.

Ensure compliance with applicable GST and e-way bill requirements, company SOPs and safety procedures.

Monitor transportation and logistics costs and support initiatives to improve efficiency and reduce dispatch expenses.

Respond to customer queries regarding dispatch status, delivery schedules and documentation, ensuring timely and professional communication.

Supervise loading activities to ensure correct quantities, proper material identification and safe handling of finished goods.

Responsibility

• Ensure timely execution of dispatch plans in line with customer requirements and committed delivery schedules
• Verify product details quantities order references and material readiness before dispatch to ensure accuracy
• Ensure the accuracy and completeness of dispatch documentation and statutory records
• Coordinate vehicle placement transporter availability and logistics arrangements to minimize dispatch delays
• Monitor shipment movement and follow up with transporters to ensure ontime delivery
• Ensure proper reconciliation of dispatched quantities against sales orders invoices and warehouse records
• Monitor loading activities to prevent material damage quantity discrepancies and incorrect dispatches
• Ensure safe loading securing and handling of materials in accordance with applicable safety requirements
• Maintain updated dispatch registers transporter details shipment tracking records and dailymonthly MIS
• Coordinate with Finance Sales Warehouse and Logistics teams to resolve documentation billing and delivery discrepancies
• Monitor transportation costs vehicle utilization and other logistics parameters to identify costsaving opportunitiesAddress customer queries and dispatchrelated complaints promptly in coordination with concerned departments
• Ensure compliance with applicable statutory requirements GST documentation eway bill rules and internal SOPs
• Identify recurring dispatch issues and support corrective actions to improve delivery performance and operational efficiency
• Maintain effective coordination with internal stakeholders transporters and logistics partners to ensure smooth dispatch operations
