Job summary

Emagn Solutions in India seeks a Service Coordinator to manage and coordinate customer service requests received via calls, emails and WhatsApp. You will schedule visits, assign jobs to engineers, and ensure timely service delivery.

Maintain accurate records, prepare quotations and invoices, and communicate updates to customers. You will coordinate with sales, service, spare parts and accounts teams to ensure smooth operations and timely closures.

Qualifications

• Strong verbal and written English communication required.

• Experience with service operations and scheduling is a plus.

Responsibilities

• Receive and coordinate customer service requests via calls, emails, or WhatsApp.
• Schedule service visits and assign jobs to engineers based on availability.
• Coordinate with customers and engineers to ensure timely service delivery.
• Track open service calls and follow up until closure.
• Maintain records of service requests, job status, and customer details.
• Communicate schedules, delays, updates, and resolutions to customers.
• Prepare quotes, estimates, invoices, and related documents.
• Coordinate with sales, service, spare parts, and accounts teams.
• Monitor pending calls and drive timely closures.
• Prepare daily/weekly service reports for management.
• Handle complaints professionally and coordinate resolutions.
• Ensure documentation and closure of completed service jobs.
• Follow company procedures and maintain high CS standards.

Key Responsibilities

• Schedule service visits and assign jobs to service engineers/technicians based on availability and location.
• Coordinate with customers and engineers to ensure timely service delivery.
• Track open service calls and follow up with engineers until closure.
• Maintain accurate records of service requests, job status, customer details, and service reports.
• Communicate service schedules, delays, updates, and resolutions to customers.
• Prepare and share service quotations, estimates, invoices, or other required documents as applicable.
• Coordinate with the sales, service, spare parts, and accounts teams whenever required.
• Monitor pending and overdue service calls and take necessary action for timely closure.
• Maintain daily/weekly service reports and provide updates to management.
• Handle customer complaints professionally and coordinate with the concerned team for resolution.
• Ensure proper documentation and closure of completed service jobs.
• Follow company procedures and maintain a high standard of customer service.
