Job summary

• Knowledge of ERP/SAP and MS Excel.
• NABL/NABH audits experience preferred.

Responsibilities

• Receive reagents, consumables, diagnostic kits and equipment against PO.
• Verify quantity, batch numbers, expiry dates and condition.
• Maintain inventory, stock records and expiry management.
• Monitor storage conditions including 2-8C and -20C cold chain.
• Implement FEFO and FIFO to minimize expiry and waste.
• Issue materials against approved indent requests.
• Conduct periodic stock verification and reconcile with records.
• Coordinate disposal of expired or near-expiry materials.
• Maintain MSDS and safe storage of chemicals.

Job description

We are looking for an experienced Senior Executive Lab Stores & Purchase to manage laboratory inventory, stores operations, procurement activities, vendor coordination, and related documentation. The ideal candidate should have experience in laboratory stores and procurement within a diagnostics, healthcare, or laboratory environment.

Key Responsibilities

Store & Inventory Management

• Receive laboratory reagents, consumables, diagnostic kits, equipment, glassware, and other materials against purchase orders.
• Verify quantity, batch numbers, expiry dates, and physical condition of received materials.
• Maintain accurate inventory and stock records and ensure proper expiry management.
• Monitor and maintain appropriate storage conditions for reagents and temperature-sensitive materials, including 2-8C and -20C cold-chain requirements.
• Implement FEFO (First Expiry, First Out) and FIFO practices to minimize expiry and material wastage.
• Issue materials to laboratory teams against authorized indent requests.
• Conduct periodic physical stock verification and reconcile discrepancies with system records.
• Coordinate the disposal of expired, damaged, or near-expiry materials as per applicable procedures.
• Maintain MSDS and ensure safe storage and handling of chemicals and laboratory reagents.

Procurement

• Raise purchase requisitions and process purchase orders.
• Coordinate with vendors to ensure timely delivery of laboratory materials.
• Obtain and compare quotations and support vendor evaluation and negotiations.
• Follow up on pending orders and ensure uninterrupted availability of critical laboratory supplies.

Documentation & Reporting

• Maintain GRNs, stock registers, purchase records, and other procurement documentation.
• Monitor reorder levels and proactively identify potential stock shortages.
• Prepare inventory and procurement MIS reports.
• Support periodic inventory audits and ensure proper documentation and traceability.

Coordination & Compliance

• Coordinate with laboratory, procurement, finance, and logistics teams.
• Resolve material availability, inventory, and vendor-related issues.
• Maintain temperature logs and calibration records for refrigerators, deep freezers, and other relevant equipment.
• Support internal and external NABL/NABH audits by maintaining audit-ready documentation.
• Contribute to process improvement and cost optimization initiatives.

Eligibility & Qualifications

• B.Sc. in Life Sciences, Microbiology, Biotechnology, or a relevant discipline.
• B.Pharm / D.Pharm candidates may also apply.
• 3-5 years of relevant experience in laboratory stores, inventory, procurement, or a similar role within a diagnostics, healthcare, or laboratory setup.
• Working knowledge of ERP/SAP is preferred.
• Proficiency in MS Excel and inventory management systems.
