Roles and Responsibilities

• Responsible for negotiating directly with multiple company personnel, vendors, collating consolidated list with respective prices and ensuring best profitable and effective deals for the group
• Conducts audits for non-moving stocks, expired/ near-expired items and take necessary actions, update Finance about any specific excess/ shortage of stock
• Finalize all the agreement with the direct companies and distributors for pan India, based on Rainbow therapeutic committee approval post in-house sampling, analysis, ISO certified lab reports
• Guide the unit teams with their issues with systems and applications and provide required support
• Conducts trainings for the team about all relevant topics and processes like PR,PO, Follow-ups, Contracts, systems applications, common patient issues/ feedback, ward wise requirements, inter-unit transfer of items etc.
• Build strong networking in the industry to ensure working with the best vendors and getting optimum benefit through relationship management
• Responsible for end to end vendor management, share feedback on delivery, quality of consignment with vendor and take necessary actions where needed, maintains overall vendor relationships.
• Follow-up with the vendors in case of delay in delivery/ stock replacement etc.
• Resolves internal and external audit queries and makes sure of keeping all details ready for audit as per prescribed standards.
• Receive PR from the main store, raise PO and ensure stock receipt of medicines/ pharmacy goods by the respective teams in each location and reconcile against POs
• Ensure that all standard processes and policies are followed for the procurement i.e. adequate quotations are taken, approvals are obtained for vendors in case of monopoly etc.
• Accountable for procuring all required items by team in a timely manner and ensure availability of stock/buffer, despite challenges (like shortage in supply, rejected consignment and manages procurement through back-up vendors/ relationship with vendors etc.)
• Review the Open PO report, PR-PO dart, inventory reports, stock in transit report, vendor advances report, expiry/ near-expiry reports for all stores for the group
• Visit and check the process followed in all the units across locations, every month
• Review the monthly MIS, Purchase report, closing stock report, excess stock report prepared by the Asst. Mgrs.
• Ensure all adjustments and changes w.r.t. the processes are updated on the system immediately and UH approval is obtained where required
