Independent Recruitment Consultant (freelancer) is seeking a sharp export sales coordinator to manage inquiries, costing and end-to-end back-office tasks from order to dispatch. You will liaise with overseas buyers, prepare quotes, and ensure accurate forex calculations.

You will also handle procurement, factory follow-up, logistics and GST/compliance tasks, keeping tight trackers and reports for management review.

Qualifications

• Fair working knowledge of export processes: Incoterms, LUT, shipping docs and payment terms.
• Strong math and unit conversions for costing, CBM and margins.
• Proficient Excel skills including formulas, pivots and costing sheets.

Responsabilités

• Handle buyer enquiries, quotations, costings and price lists; chase orders.
• Place material orders and follow up with supplier factories daily.
• Coordinate with freight forwarders and prepare export documents.
• Maintain live order trackers and generate weekly status reports.

Description du poste

We are looking for a sharp, reliable and street-smart professional to handle export sales coordination

and back-office operations end to end from buyer enquiry and costing, to raw material and trading

orders, factory follow-up, dispatch and export documentation.

Key Responsibilities

Sales & Buyer Coordination

• Handle buyer enquiries, prepare quotations and price lists, and follow up for order confirmation.
• Calculate product costing, FOB/CIF pricing and margins accurately in Excel.
• Maintain regular, professional email communication with overseas buyers (mainly USA).
• Track buyer requirements: specifications, samples, packing, labelling and delivery timelines.

Procurement & Factory Follow-up

• Place purchase orders for raw materials (polymer, graphite, paper, packaging, etc.) and for traded

products with suppliers.

• Negotiate rates, compare quotes and ensure the best price, quality and delivery terms.
• Follow up daily with our factory and partner factories on production status, quality and dispatch

dates.

• Keep a live order tracker so management knows the status of every order at any time.

Dispatch, Logistics & Export Documentation

• Coordinate with freight forwarders, CHA a
• nd transporters for pickup, container booking and

shipment.

• Prepare and verify export documents: commercial invoice, packing list, shipping bill, bill of

lading/airway bill, certificate of origin, etc.

• Handle GST, LUT, drawback/RoDTEP and payment realisation follow-up (FIRC/BRC) with

accounts/CA.

• Calculate CBM, container loading, carton quantities and weights correctly for every shipment.

Back Office & Reporting

• Maintain orders, stock, dispatch and payment records in Excel.
• Prepare weekly reports on orders, pending dispatches, payments and supplier performance.
• Flag delays, quality issues or cost changes to management immediately, with a proposed solution.

Required Skills & Knowledge

• Fair working knowledge of export processes: Incoterms (FOB, CIF, EXW), IEC, LUT, shipping

documents, freight forwarding and payment terms (advance, LC, TT).

• Strong basic mathematics and unit conversions – cm mm inch, kg tons, CBM,

percentages, margins, currency conversion – done quickly and without errors.

• Good Excel skills: formulas (SUM, IF, VLOOKUP/XLOOKUP, SUMIF), pivot tables, costing sheets and

trackers.

• Experience in raw material / trading order placement and supplier follow-up.
• Good written and spoken English; professional email etiquette.
• Working knowledge of GST on exports and basic accounting terms.

• Familiarity with Tally or any ERP; experience with Amazon/online marketplace exports.
