TheReceptionist is responsible for managing front office operations, welcomingvisitors, handling communications, coordinating administrative activities, andensuring a professional and efficient workplace environment. The role supportssmooth day-to-day office functioning through effective visitor management,record maintenance, facility coordination, and administrative support.
Key Result Areas
Front Office &Visitor Management
- Professionally greet, receive, and assist guests,clients, business partners, and visitors, ensuring a positive visitorexperience.
- Coordinate visitor requirements, includingarranging tea, coffee, refreshments, and meals as required.
- Maintain visitor records and ensure adherence tooffice security and visitor protocols
CommunicationManagement
- Manage incoming and outgoing telephone calls,directing them appropriately and maintaining professional communicationstandards.
- Handle reception-related correspondence andcommunication channels, including emails and other office communicationsas assigned.
- Coordinate the receipt, dispatch, and tracking ofcouriers, parcels, and office materials.
- Maintain accurate inward and outward courierregisters and related documentation.
Administrative Support
- Provide administrative assistance for day-to-dayoffice operations.
- Maintain and update records related to ISMScompliance and other administrative requirements.
- Coordinate with internal departments, branchoffices, and external vendors for administrative support
Facilities &Resource Coordination
- Manage bookings, scheduling, and upkeep of theBoard Room, Academy, Reception Area, and other common facilities.
- Ensure reception and common areas arewell-maintained, organized, and presentable at all times.
- Supervise and coordinate office support staff toensure smooth office functioning.
Petty Cash & RecordMaintenance
- Handle petty cash transactions for routine officeexpenses and maintain accurate records.
- Maintain and regularly update company contactdirectories, extension lists, and address databases.
General Office Support
- Support office administration activities andundertake additional responsibilities as assigned to facilitate smoothbusiness operations.
Required Competencies,Skills, and Experience
- A graduate with goodcommunication skills possessing minimum 1 year of experience as a front deskoffice executive/ receptionist.
- Should haveexperience in working with an organization that has an employee strengthof 100+
- Proficiency in MS Office applications (Word,Excel, Outlook, PowerPoint)
