Job summary

Vertvista is seeking a Billing/Quantity Surveyor to bridge project teams and Accounts, ensuring accurate measurement, documentation, and timely billing for all orders and services. You will certify bills, manage variations, and drive on-time invoicing across Mumbai, Pune, and nearby sites.

Qualifications

• 3 to 8 years as a Quantity Surveyor or Billing Engineer in interior fit-out, landscape, façade, MEP or construction contracting.
• Hands-on experience with measurement sheets, RA and final bills, variation claims and PO/BOQ reconciliation.
• Strong MS Excel skills and ability to take quantities from AutoCAD drawings.
• Experience with client procurement portals such as Ariba or Coupa preferred.
• Organised and persistent: follows up in writing until each bill is raised, certified and paid.

Responsibilities

• Track every order (PO, WO, amendment, AMC or rental contract) from execution to tax invoice and ensure weekly billing for live projects.
• Measure and quantify work, visit sites as needed, prepare measurement sheets, JMR and bill abstracts for client sign-off.
• Assemble the billing pack for each bill and hand to Accounts so invoices go out within 48 hours of work completion.
• Raise variations and amendments to catch extra work while the project is ongoing.
• Reconcile monthly across projects: ordered vs supplied vs billed vs paid; flag issues like proformas not converted to tax invoices.
• Respond to client and PMC queries with evidence; get bills certified and uploaded on portals such as Ariba.

About Vertvista

Vertvista Eco Solutions is a biophilic-design and commercial landscaping company. We design, build and maintain indoor plantscapes, green walls and landscapes for corporate offices, IT campuses, hotels and residential developments across India, and look after many of them under annual maintenance (AMC) contracts.

The role

You will be the link between our project teams and Accounts, reporting to the Directors. Your job is to make sure everything we supply, install or service is measured, documented and billed on time, and that every client billing query is closed quickly.

What you will do

• 1. Track every order (PO, WO, amendment, AMC or rental contract) from execution to tax invoice, check what was supplied or serviced against the PO line and BOQ, and make sure every live project has a bill moving every week, however small.
• 2. Measure and quantify work done, visiting sites when needed, and prepare measurement sheets, JMR and bill abstracts for client sign-off.
• 3. Put together the billing pack for each bill (order and line item, signed delivery challans, measurement sheets, work completion or handover certificate, photos, service reports) and hand it to Accounts so the invoice goes out within 48 hours of the work being done. Every bill must carry the item, PO number and PO line, and for plants the pot size and plant height.
• 5. Catch extra work early: raise variations and amendments and get the order or written approval while the work is being done, not after.
• 6. Reconcile every month, project by project: ordered vs supplied vs billed vs paid. Flag proformas not converted to tax invoices, advances without invoices, credit notes not re-billed, and bills raised to the wrong entity or at the wrong rate.
• 7. Answer client and PMC queries and deductions with evidence, get bills certified, and handle uploads on client portals such as Ariba.

What you need

• 1. 3 to 8 years as a Quantity Surveyor or Billing Engineer in interior fit-out, landscape, facade, MEP or construction contracting.
• 2. Hands-on experience with measurement sheets, RA and final bills, variation claims and PO/BOQ reconciliation.
• 4. Strong MS Excel. Able to take quantities from AutoCAD drawings.
• 5. Experience with client procurement portals such as Ariba or Coupa preferred.
• 6. Organised and persistent: follows up in writing until each bill is raised, certified and paid.
• 7. Willing to visit sites in Mumbai and Pune regularly and travel to other cities when needed.
