Job summary

Qualifications

Job Summary

We are looking for a proactive and detail-oriented Purchase Executive to manage the procurement of materials, products, and services required for interior design and project execution. The candidate will be responsible for sourcing vendors, negotiating prices, placing purchase orders, coordinating deliveries, and ensuring materials are available at project sites on time and within the approved budget.

Key Responsibilities

• Handle day-to-day purchasing requirements for interior design and execution projects.
• Source and evaluate vendors, suppliers, contractors, and service providers.
• Obtain quotations, compare prices, quality, specifications, and delivery timelines.
• Negotiate with suppliers to achieve the best possible price and payment terms.
• Prepare and process Purchase Orders (POs) as per approved requirements.
• Coordinate with the Design, Project, Site, Accounts, and Operations teams to understand material requirements.
• Purchase materials such as plywood, laminates, MDF, hardware, electrical items, plumbing materials, lighting, tiles, sanitaryware, furniture, dcor items, paints, fabrics, and other interior-related products.
• Ensure materials are purchased according to approved specifications, brands, quantities, and quality standards.
• Coordinate with vendors for timely delivery to the office, warehouse, or project sites.
• Track pending orders and follow up regularly to avoid project delays.
• Verify material quantities, rates, invoices, and delivery documents.
• Maintain updated records of vendors, quotations, purchase orders, invoices, and deliveries.
• Coordinate with the Accounts team regarding invoices, payments, advances, and vendor settlements.
• Identify alternative vendors and materials when required without compromising quality.
• Monitor market prices and maintain awareness of new materials, products, and suppliers.
• Resolve issues related to shortages, damaged materials, incorrect deliveries, and delayed supplies.
• Maintain strong professional relationships with existing and new vendors.
• Ensure procurement is completed within the approved project budget and timelines.
• Support management in preparing purchase reports and procurement-related MIS.

Required Skills & Qualifications

• Bachelor's degree or Diploma in Business Administration, Supply Chain, Procurement, Interior Design, or a related field.
• 13 years of experience in purchase/procurement, preferably in the interior design, construction, architecture, or real estate industry.
• Good knowledge of interior materials, hardware, furniture, electrical, plumbing, and finishing materials.
• Strong negotiation and vendor management skills.
• Good communication and coordination skills.
• Ability to compare quotations and analyze pricing.
• Good knowledge of MS Excel and basic MS Office.
• Strong follow-up and time-management skills.
• Ability to work under pressure and manage multiple project requirements.
• Good attention to detail and documentation skills.
