We are seeking a detail-oriented and proactive Interior Project Coordinator & Material Procurement Coordinator to support the planning, execution, and completion of interior design and fit‑out projects. The role involves coordinating project activities, managing procurement processes, tracking material deliveries, liaising with vendors and contractors, and ensuring projects are completed on schedule and within budget.

Project Coordination

• Assist in planning, scheduling, and monitoring interior design and fit‑out projects.
• Coordinate with designers, architects, contractors, suppliers, and clients throughout the project lifecycle.
• Track project progress and maintain project documentation, reports, and records.
• Monitor project timelines and follow up on pending tasks to ensure deadlines are met.
• Conduct site visits and coordinate with site teams regarding project requirements.
• Prepare project status reports and update management on project progress.
• Support project managers in resolving project‑related issues and challenges.

Material Procurement

• Source materials, furnishings, fixtures, finishes, and equipment according to project specifications.
• Obtain quotations from suppliers and compare pricing, quality, and delivery schedules.
• Negotiate pricing, payment terms, and delivery conditions with vendors.
• Prepare purchase orders and coordinate procurement activities.
• Track material orders from purchase through delivery and installation.
• Ensure timely procurement of materials to avoid project delays.
• Maintain inventory records and monitor stock levels when applicable.
• Verify received materials against specifications and purchase orders.
• Resolve supplier issues related to quality, shortages, damages, or delays.

Vendor & Supplier Management

• Develop and maintain relationships with suppliers and manufacturers.
• Evaluate vendor performance based on quality, pricing, and delivery reliability.
• Maintain an updated supplier database and procurement records.
• Coordinate logistics and transportation for material deliveries.

Cost Control & Documentation

• Assist in preparing project budgets and procurement cost estimates.
• Monitor procurement expenses and identify cost‑saving opportunities.
• Maintain accurate records of purchase orders, invoices, contracts, and delivery notes.
• Ensure compliance with company procurement policies and procedures.
