Job summary

Swapna Srushti has a head-office role in Ahmedabad seeking an experienced Procurement Manager to lead sourcing and material delivery for turnkey interior, MEP and civil fit-out projects across multiple states. You will own the procurement cycle from BOQ-stage vendor identification to site delivery.

You will manage vendor base, negotiate contracts, ensure GST-compliant invoicing, and coordinate with QA/QC and accounts to keep material flow unblocked.

Qualifications

• 8-12 years of procurement experience, with a minimum of 4 years in interior fit-out, general contracting or MEP projects.
• Proven experience procuring for multi-location, simultaneously running project sites.
• Strong working knowledge of interior and MEP material specifications, brands and standard market rates.
• Demonstrated negotiation ability with a track record of quantified cost savings.
• Hands-on with ERP-based procurement (SAP, Farvision, Tally, Zoho or equivalent) and advanced MS Excel.
• Sound understanding of GST, e-way bill procedures and purchase documentation.

About the Role

Swapna Srushti is looking for a Procurement Manager to lead sourcing and material delivery for turnkey interior, MEP and civil fit-out projects executed across 15+ states for leading banking and financial institutions. Based at our Ahmedabad head office, you will own the entire procurement cycle from BOQ-stage vendor identification to site delivery and final material reconciliation and be directly accountable for cost, quality and on-time availability at site.

Key Responsibilities

Sourcing & Vendor Management

• Develop and maintain a pan-India vendor base for interior and MEP materials, with particular depth in tier-2 and tier-3 locations where our project sites operate.
• Float RFQs, prepare comparative statements, negotiate commercially and technically, and finalise vendors against approved BOQ specifications.
• Negotiate and administer annual rate contracts for high-volume, repeat items to protect margins across multiple concurrent projects.
• Conduct vendor evaluation and periodic performance rating on quality, delivery adherence, pricing and after-sales support; onboard alternate sources to de-risk single-vendor dependency.

Category Ownership

• Interior works plywood, laminates, veneers, modular furniture, workstations, false ceiling and gypsum systems, flooring (vitrified, vinyl, carpet), glazing and partition systems, architectural hardware, paints and finishes.
• MEP electrical panels and cabling, light fixtures, HVAC, DG sets, UPS, fire detection and suppression, plumbing, CCTV, access control and low-voltage systems.
• Bank-specific scope - strong room doors, safe deposit lockers, cash counters, ATM enclosures, branded signage and other client-specified items.

Client & Specification Compliance

• Procure strictly against client-approved make lists and specifications; obtain deviation approvals in writing where an approved make is unavailable.
• Coordinate with QA/QC for material sample approvals, test certificates and third-party inspection prior to dispatch.

Cost & Budget Control

• Track procurement cost against the estimated BOQ value for every project; report variances with reasons and corrective action.
• Deliver measurable year-on-year savings through consolidation, alternate sourcing, direct-from-manufacturer buying and improved payment terms.

Planning & Logistics

• Work with Projects and Planning teams to build project-wise procurement schedules aligned to the site programme, working backwards from installation dates to account for lead times.
• Manage inbound logistics and transporters for multi-state dispatches; ensure timely delivery, correct documentation and minimal transit damage.
• Monitor site material consumption, reconcile against BOQ, and control wastage, excess ordering and idle stock.

Documentation & Compliance

• Issue purchase orders with clearly defined commercial terms, delivery schedules, warranties and penalty clauses.
• Ensure GST-compliant invoicing, e-way bill generation, GRN booking and three-way matching before payment release.
• Maintain complete procurement records in the ERP system and resolve vendor disputes, short supplies and debit notes.

Team & Coordination

• Lead and mentor a team of purchase executives and site store personnel.
• Coordinate daily with Estimation, Projects, QA/QC and Accounts to keep material flow and vendor payments unblocked.

Candidate Requirements

• 8-12 years of procurement experience, with a minimum of 4 years in interior fit-out, general contracting or MEP projects. Candidates from turnkey interior contracting or PMC backgrounds will be preferred.
• Proven experience procuring for multi-location, simultaneously running project sites.
• Strong working knowledge of interior and MEP material specifications, brands and standard market rates.
• Demonstrated negotiation ability with a track record of quantified cost savings.
• Hands-on with ERP-based procurement (SAP, Farvision, Tally, Zoho or equivalent) and advanced MS Excel.
• Sound understanding of GST, e-way bill procedures and purchase documentation.
• Willingness to travel to project sites across India as required.
• Strong communication skills in English, Hindi and Gujarati.
