The Operations Supervisor - HR and Admin is responsible for supervising day-to-day center operations while acting as the primary point of coordination for HR and administrative functions at the center. This role supports employee engagement, HR compliance activities, access and identity management, vendor coordination, and inventory/office supplies management, in addition to core operational responsibilities such as SOP adherence, service quality, and applicant flow. He/ She will work closely with the Center Manager and Regional HR to ensure a well-run, compliant, and employee-friendly center environment.
Essential Functions
- Coordinate employee engagement activities and initiatives at the center
- Conduct mobile and uniform audits for center staff on a periodic basis
- Manage ID card distribution for employees
- Coordinate access card and biometric enablement, and disablement upon exit or role change
- Coordinate with Regional HR for scheduling and facilitation of employee training programs
- Support the Center Manager with employee-related matters and act as the first point of contact for HR queries at the center
- Support the Center Manager in policy briefing and communication of HR policies to center staff
- Coordinate with vendors for deep cleaning, fumigation, and pest control services at the center
- Coordinate applicant gown cleaning services and ensure timely turnaround
- Monitor vendor service quality and elevate service gaps to the Center Manager
- Ensure spare inventory management is carried out jointly with the Operations Supervisor monthly.
- Support the Center Manager in QMS Audits and ensure timely closure of observations, wherever applicable.
- Coordinate with relevant vendors for any hardware-related concerns at the center.
- Support in IT helpdesk tickets remotely; hardware or internet-related issues should be coordinated with the relevant IT/vendor team for timely resolution.
- Raise requirements for office supplies (pantry items, stationery, housekeeping materials) in ERP
- Maintain accurate consumption records for stationery, pantry supplies, housekeeping materials, and IT equipment
- Assist the Center Manager in periodic inventory audits
- Prepare management reports and support the Center/ Operations Manager
- Allocate responsibilities and manage staff as per the approved roster
- Report and escalates security-related issues in line with company policy
- Ensure compliance with prescribed systems and defined SLAs
- Maintain and monitor MIS reports (attendance, daily reports, biometrics, etc.)
- Ensure adherence to SOPs across all operations
- Ensure adequate manpower availability; arrange locum staff when required and update the Center Manager
- Support the Center Manager during daily team briefings with operational and HR updates
- Conduct internal audits in the absence of the Center Manager
- Support resolution of operational and HR-related issues reported by staff
- Support adherence to all regulatory and compliance requirements

Qualifications, Experience And Education Requirements
- Graduate in any discipline; a background in HR or Administration is preferred
- Prior experience in HR coordination, administration, or facility/vendor management
- Proficiency in use of computers - MS Office and ERP systems
- Written & Spoken Skills (English and local language)
- 5-8 years of experience in operations / HR / administration, preferably in a healthcare or service industry
