Job summary

The role requires 3–5 years in healthcare operations, an MBA/MHA, and a proven ability to coordinate multi-disciplinary teams while ensuring service continuity and EPIC values in daily work.

Qualifications

  • Familiarity with hospital infrastructure and support services.
  • Strong vendor coordination and security oversight.

Responsibilities

  • Coordinate facility non-medical maintenance, utilities, and oxygen stock management.
  • Oversee facility medical equipment maintenance and preventive schedules.
  • Coordinate lab services and sample pickups with vendors.
  • Monitor pharmacy supplies and measure turnaround times for orders.
  • Supervise security staff and enforce security protocols.
  • Coordinate laundry operations and inventory.
  • Provide administrative and billing support as needed.
  • Uphold EPIC values in daily operations.
  • Handle emergency readiness and real-time issue resolution.

Job description

Core Responsibilities
1. Facility Non-Medical Maintenance
Maintenance
  • Ensure all electrical and plumbing systems are in working order.
  • Coordinate with vendors for timely repairs and servicing.
Housekeeping
  • Ensure availability of HK staff as per shift rosters.
  • Review HK staff performance and training conducted by supervisors.
  • Coordinate with housekeeping agency in case of service gaps.
Biomedical Waste (BMW) Management
  • Coordinate BMW disposal, audit slips, and ensure compliance.
Oxygen Management
  • Monitor oxygen stock levels and ensure timely refills from suppliers.
Utilities Oversight
  • Track and manage water and diesel usage; maintain sufficient stock at all times.
2. Facility Medical Equipment Maintenance
  • Maintain updated medical equipment inventory and service status.
  • Conduct bi-weekly reviews with the Biomedical Engineer.
  • Ensure preventive maintenance schedules are completed without lapses.
3. Lab Services Coordination
  • Schedule and coordinate lab sample pick-ups with vendors.
  • Ensure timely resolution of operational issues and report delivery.
4. Pharmacy Coordination
  • Oversee the receipt of medication supplies.
  • Monitor Turnaround Time (TAT) for all medicine orders.
5. Security Oversight
  • Ensure security staff training is up to date.
  • Handle issues with the agency and ensure compliance with KITES security protocols.
6. Other Operational Areas
Laundry
  • Coordinate with laundry team and verify inventory counts.
Ambulance Services
  • Arrange transportation for patient transfers as required.
Inventory & Register Management
  • Maintain adequate inventory across departments.
  • Ensure all registers and logs are updated as per operational protocols.
7. Administrative & Billing Support
  • Serve as the backup for the Billing Executive in their absence.
  • Act as second in command to the Centre Head for centre-level decision-making and issue resolution.

Profile
Knowledge and Experience
  • Education: MBA / MHA (Healthcare Management preferred)
  • Experience: Minimum 3-5 years in healthcare operations or administrative management
  • Familiarity with hospital/facility infrastructure and support service coordination
