Job summary

Phynyx Industrial Products is seeking a capable Operations Coordinator in Mumbai to handle quotation, CRM management, and export documentation. You will coordinate pricing with the Production Manager, prepare export invoices and packing lists, and oversee the physical packaging to meet export-quality standards.

You will manage day-to-day operations, implement efficiency improvements, and collaborate across teams to optimize processes, leveraging Zoho CRM, Books, Inventory, and Mail daily.

Qualifications

• Graduate education required (B.Com / BBA / Diploma / BE).
• Strong understanding of Operations Management principles including Process Management and Customer Service.
• 0-2 years of experience in a similar role or industry.

Responsibilities

• Read incoming customer RFQs, identify missing technical information, and prepare accurate quotation sheets.
• Coordinate with Production Manager for pricing approvals.
• Prepare Export Invoices and Packing Lists; book international shipments.
• Print and paste box labels; oversee final packaging for export-quality standards.
• Manage day-to-day operations of the business unit and optimize resources.
• Drive process improvements to reduce costs and enhance customer satisfaction.
• Ensure compliance with company policies and regulatory requirements.
• Work daily across the Zoho One ecosystem (CRM, Books, Inventory, Mail).

Roles and Responsibilities

• Quotation & CRM Management: Read incoming customer RFQs, identify missing technical information, and prepare accurate quotation sheets. Coordinate directly with our Production Manager for pricing approvals.
• Export Documentation: Prepare Export Invoices and Packing Lists. Book international shipments via DHL and Aramex.
• Physical Dispatch: Print and paste box labels, take product photos to link in the CRM, and oversee the final physical packaging on the floor to ensure export-quality standards.
• Manage day-to-day operations of the business unit, ensuring efficient use of resources and meeting customer expectations.
• Develop and implement strategies to improve operational efficiency, reduce costs, and enhance customer satisfaction.
• Collaborate with cross-functional teams to drive process improvements and optimize business processes.
• Ensure compliance with company policies, procedures, and regulatory requirements.
• Tech Stack: Work daily across the Zoho One ecosystem (CRM, Books, Inventory, Mail).
