Qualifications

  • 1-3 years of experience in travel operations or tour operations.
  • Excellent knowledge of domestic and international travel processes.
  • Proficient in MS Excel and travel-related systems.
  • Strong problem-solving and vendor management abilities.

Responsibilities

  • Handle full tour and travel operations from booking confirmation to trip completion.
  • Coordinate hotel bookings, transportation, sightseeing, meals, guides, and travel services.
  • Coordinate with airlines, hotels, DMCs, transporters, restaurants, guides, and other vendors.
  • Prepare passenger lists, rooming lists, arrival/departure details, and operational sheets.
  • Coordinate with Ticketing, Visa, Sales, Accounts, and Tour Manager teams.
  • Prepare itineraries, travel documents, and service confirmations.
  • Manage group departures, corporate tours, MICE movements, and international delegations.
  • Handle last-minute changes, cancellations, and operational issues.

Job Title: Operations Executive – Travel & Tours

Job Summary-

We are looking for an organised and responsible Operations Executive to manage day-to-day travel operations, bookings, vendor coordination, documentation, and on-ground arrangements for individual travellers, groups, corporate clients, and international trade fair delegations.

The candidate should be capable of coordinating multiple bookings simultaneously and ensuring that every service is confirmed accurately and delivered on time.

Key Responsibilities

Handle complete tour and travel operations from booking confirmation to trip completion.

Coordinate hotel bookings, transportation, sightseeing, meals, guides, and other travel services.

Coordinate with airlines, hotels, DMCs, transporters, restaurants, guides, and other vendors.

Prepare and maintain passenger lists, rooming lists, arrival/departure details, and operational sheets.

Coordinate with the Ticketing, Visa, Sales, Accounts, and Tour Manager teams.

Prepare final itineraries, vouchers, travel documents, and service confirmations.

Manage group departures, corporate tours, MICE movements, and international exhibition/trade fair delegations.

Ensure all bookings are reconfirmed before departure.

Monitor payment status and coordinate with Accounts for vendor payments.

Negotiate and follow up with vendors for rates, confirmations, and service requirements.

Handle last-minute changes, cancellations, amendments, and operational issues.

Maintain complete records of bookings, confirmations, invoices, and vendor communication.

Share timely updates with clients and internal teams.

Coordinate airport transfers, hotel check-ins, group movements, and other on-ground arrangements.

Provide operational support to Tour Managers during group departures.

Ensure services are delivered according to the committed itinerary and package inclusions.

Resolve traveller or vendor issues quickly during ongoing tours.

Prepare post-tour reports and maintain proper operational documentation.

Required Skills

Strong coordination and follow-up skills.

Good knowledge of domestic and international travel operations.

Excellent attention to detail.

Ability to handle multiple bookings and departures simultaneously.

Good communication and vendor-management skills.

Ability to work under pressure and meet strict deadlines.

Good knowledge of MS Excel, Word, email, and travel-related systems.

Strong problem-solving and decision-making ability.

Preferred Experience

1-3+ years of experience in Travel Operations / Tour Operations.

Experience with a travel agency, tour operator, DMC, or MICE company will be preferred.

Experience handling international group tours, corporate travel, MICE, or exhibition delegations will be an added advantage.
