Job summary

Health Care Global Enterprises in Vadodara, Gujarat is seeking an experienced OT Operations Manager to coordinate medical and non-medical teams for smooth theatre functioning. The role involves ensuring SOP compliance, staff training, and maintaining high standards of surgical practice.

You will lead procurement coordination, supervise scheduling, budgeting, and performance review processes, and drive quality indicators and CAPA initiatives across the OT department.

Responsibilities

• Coordinates with Medical and Non-Medical teams for smooth OT functioning.
• Maintains rapport between doctors, nurses and OT staff.
• Ensures departmental standards and SOPs are met, maintained and reviewed.
• Trains OT staff on discipline, policies and SOPs.
• Monitors best surgical practices in the OT as per SOPs.
• Coordinates with departments for procurement, repair and maintenance of equipment per MoU.
• Leads operational excellence initiatives and ensures closure on weekly scorecards.
• Reports incidents promptly and initiates RCA and CAPA.
• Prepares OT schedule lists and distributes to stakeholders timely.
• Plans duty rosters for OT staff including technicians and CCO.
• Participates in budgeting for the Operation Theatre and manpower planning.
• Communicates with the Nursing Head on all matters related to nursing and performance appraisals.
• Interviews prospective OT staff and monitors Quality Indicators & QIP for OT.

Job description

• Coordinates with Medical, Non- Medical team for smooth functioning of the OT
• Ensures rapport building between the doctors, Nurses and other staff in the OT
• Ensures departmental standards / protocols are met maintained and reviewed.
• Trains all the staff in OT discipline and policies in addition to the SOPs.
• Ensures best surgical practices in the OT as per the laid SOPs
• Coordinates with concerned departments for procurement repair/maintenance of all the equipments and instruments as per MoU
• Leads Operational excellence activity initiation and ensures closure on departmental weekly scorecards.
• Reports all incidents in a timely manner and initiates RCA and CAPA.
• Prepares the OT list of the scheduled cases and send it to all the stakeholders timely.
• Ensures that there is no delay in scheduling in order to optimize OT and equipment utilization. In case there is a modification or delay communicate the same to the stakeholders at the earliest
• In case of use of consignment goods then, consumption information to be communicated to pharmacy and stores. Post-surgical clearance for the same should be done within 2 hours of stock entry confirmation by the stores/ pharmacy
• Ensures availability of drugs, consumables, equipment, instruments as per Surgery schedule
• Monitors the Surgery cancellations and proactively reschedules with the Surgeons.
• Plans duty roster and shift scheduling of the OT staff including the O.T technicians and CCO.
• Prepares monthly statistics of OT in terms of utilization of OT and equipment
• Formulates strategy to ensure best utilization of the facility, human resource and equipments
• Ensures no pilferage from the OT complex and OT stores. Plans daily and weekly audit for the same
• Ensures stock levels are adequately maintained.
• Coordinates with various units from where the patients are transferred in for surgery and transferred out after surgery.
• Attends OT committee meetings and review monthly reports
• Assists in the preparation and administration of the operation theater budget
• Participates in manpower planning
• Communicates regularly with the Nursing Head and give input on all matters related to nursing
• Interviews prospective applicants for the post of staff nurses & OT nurses
• Actively participates in the performance appraisal for her/ his reportee
• Monitor Quality Indicators & QIP for the Operation Theatre.
