Role Purpose
To take routine coordination and follow-up off the Partner's desk, so that the Partner can focus on clients and technical work. You will be the Partner's eyes and ears in the office.
Key Responsibilities
Delegation and follow-up
- Record every task the Partner gives to staff in the Delegation sheet, with doer, deadline and priority.
- Follow up daily with staff on delegated tasks. Report pending and delayed items to the Partner every evening.
- Maintain the Partner's own personal checklist (daily, weekly and monthly recurring items) and remind on time.
- Close the loop on every task: get confirmation of completion, not just "working on it".
Calendar and meetings
- Manage the Partner's calendar: client meetings, hearings, department visits, internal reviews and calls.
- Fix appointments with clients, coordinating time, venue and documents required.
- Prepare the agenda before meetings and record Minutes of Meeting (MOM) with action points, owners and dates. Feed the action points into the Delegation sheet.
- Arrange and coordinate the weekly MIS / review meeting with the team.
Communication and coordination
- Handle the Partner's emails and calls: sort, reply to routine ones and flag important ones.
- Coordinate with clients for documents, data and pending information.
- Track due dates for key compliances, hearings and notices, and remind the concerned staff and Partner in advance.
- Coordinate with external parties: banks, ICAI, courier, vendors and government offices.
Office administration
- Manage incoming and outgoing documents, couriers and the physical filing system.
- Maintain the visitor register and attend to clients in office.
- Arrange travel and stay bookings for the Partner and staff.
- Keep stationery, office supplies and basic upkeep in order.
Reporting
- Prepare a daily end-of-day report for the Partner: tasks closed, pending and delayed, plus tomorrow's calendar.
- Assist the MIS Executive in preparing the weekly MIS scores.
Required Skills
- Strong follow-up habit. Comfortable chasing people politely but firmly.
- Good command of Google Sheets / Excel, Gmail and Google Calendar.
- Clear spoken and written communication in Hindi and English (email drafting is a must).
- Well organised, punctual and able to keep confidential information private.
- Basic knowledge of WhatsApp Business and video-call tools (Google Meet / Zoom).
Preferred (Added Advantage)
- Experience as EA / Office Coordinator under BCI or similar systems (Delegation, Checklist, MOM).
- Prior work in a CA firm, law firm or professional services office.
- Familiarity with GST / Income Tax due dates.
Qualification
- Graduate in any discipline (B.Com preferred).
