Treat Hotels & Resorts in Navi Mumbai is seeking a MICE Executive to support the MICE team with enquiries, proposals and coordination for smooth event execution.

Qualifications

• 13 years' experience in MICE, hotel sales, events or hospitality preferred; strong communication and coordination skills.

Role & responsibilities

The MICE Executive will support the MICE team in handling enquiries, preparing proposals and quotations, coordinating with clients and internal departments, maintaining event documentation, and assisting in the smooth execution of MICE events. The role will involve regular coordination with corporate clients, MICE agencies, event companies, PCOs, DMCs, travel partners, hotels, and internal operational teams.

Key Responsibilities:

MICE Enquiry Handling

• Receive and coordinate MICE enquiries received through calls, emails, agencies, and other channels.
• Understand basic client requirements such as number of guests, room nights, meeting space, meals, event dates, and other requirements.
• Record all enquiries and client requirements accurately.
• Share enquiries with the concerned MICE Manager / Sales Manager for further action.
• Follow up on enquiries and maintain regular communication with clients and agencies.
• Maintain an updated MICE enquiry and follow-up tracker.

Proposal & Quotation Support

• Assist in preparing MICE proposals, quotations, packages, and presentations.
• Coordinate with the hotel/property teams for room availability, banquet space, meeting rooms, F&B requirements, and other services.
• Collect rates and inclusions from the concerned departments as required.
• Ensure quotations and proposals are accurate and shared with clients within the required timelines.
• Maintain records of proposals, quotations, tentative bookings, and confirmed events.

Event Planning Support

• Assist the MICE Manager in planning confirmed events.
• Prepare and update event schedules, function requirements, rooming lists, meal plans and other event documents.
• Coordinate client requirements with Reservations, Front Office, Banquets, F&B, Housekeeping, and other hotel departments.
• Assist in preparing pre-event information and briefing documents.
• Ensure all changes and updates received from the client are communicated to the concerned teams.

Vendor & Event Requirement Coordination

• Assist in coordinating event-related requirements such as transportation, dcor, entertainment, audio-visual, branding, activities, and other services.
• Coordinate with approved vendors as instructed by the MICE Manager.
• Collect vendor quotations and required information where applicable.
• Follow up with vendors for event-related arrangements and timelines.
• Maintain records of vendor requirements and confirmations.

Sales & Business Development Support

1. Generate new MICE business opportunities and support the MICE Manager.
2. Handle sales calls, client meetings, property visits, exhibitions, roadshows, and networking.
3. Develop and maintain relationships with corporate clients, agencies, PCOs, DMCs and event companies.
4. Follow up on MICE enquiries, proposals, tentative bookings and future business.
5. Maintain accurate CRM, client databases and sales records.
6. Prepare daily/weekly MICE reports, forecasts and activity updates.
7. Coordinate with internal departments for smooth event planning and execution.
8. Manage post-event feedback, pending issues, billing, documentation and settlements.
9. Identify opportunities for repeat business and long-term client relationships.
10. 13 years' experience in MICE, hotel sales, events, banquets or hospitality preferred; strong communication, coordination, MS Office and client-servicing skills required
