Responsibilities

  • Oversee end-to-end inventory management and optimize stock levels.
  • Coordinate material receipt, GRN, inspection, storage, and system updates.
  • Plan warehouse layouts, FIFO/FEFO, tagging, binning, and space utilization.
  • Maintain stock ledgers, records, GRNs, invoices, and audits.
  • Collaborate with Procurement, Projects, Operations, Finance, Quality, and other departments.
  • Ensure compliance with safety, PPE, and warehouse procedures.
  • Drive cost control, reduce dead stock, and improve storage efficiency.
  • Prepare and review stores MIS reports; monitor turnover and aging.
  • Support internal, statutory, and project audits with accurate documentation.
  • Lead a team, ensure training, and maintain high housekeeping standards.

Role Category: Inventory & Warehouse Management

Role Overview:

Stores will be responsible for managing the complete stores and warehouse operations, ensuring efficient receipt, storage, preservation, issue, and control of materials. The role requires strong expertise in inventory management, warehouse operations, documentation, team leadership, cost control, audit compliance, and coordination with Procurement, Projects, Operations, Finance, Quality, and other user departments.

The position will be accountable for maintaining optimum inventory levels, minimizing inventory carrying costs and dead stock, ensuring accurate stock records, and providing timely material support to business operations.

1. Inventory Management
  • Manage overall inventory levels and ensure optimum stock availability.
  • Maintain and monitor safety stock, reorder levels, minimum/maximum stock levels, and lead times.
  • Conduct ABC analysis and inventory classification.
  • Monitor stock ageing and identify slow-moving, non-moving, obsolete, and excess inventory.
  • Ensure accurate physical and system stock reconciliation.
  • Implement inventory control measures to minimize shortages, excess stock, and stock discrepancies.
2. Material Receipt and Issue
  • Manage the complete material receipt process, including GRN preparation, inspection coordination, storage, and system updates.
  • Ensure materials received are verified against Purchase Orders, specifications, quantities, and delivery documents.
  • Manage material issue slips and ensure proper authorization before material issuance.
  • Handle material returns, rejected materials, shortages, damages, and reconciliation.
  • Ensure timely and accurate updating of ERP/system transactions.
3. Warehouse Management
  • Plan and organize warehouse/store layouts for optimum space utilization.
  • Ensure proper identification, tagging, binning, and location management of materials.
  • Implement FIFO/FEFO practices wherever applicable.
  • Ensure appropriate material preservation, handling, stacking, and storage conditions.
  • Maintain high standards of housekeeping, cleanliness, and workplace organization.
  • Ensure proper utilization and maintenance of material-handling equipment.
4. Documentation and Record Keeping
  • Ensure proper maintenance of stock ledgers, registers, GRNs, issue records, delivery challans, invoices, warranty documents, and other relevant records.
  • Maintain accurate documentation for material movements and inventory transactions.
  • Ensure records are readily available for internal, statutory, customer, and project audits.
  • Establish proper document-control procedures for stores operations.
5. Procurement Coordination
  • Coordinate closely with Purchase/Procurement, Vendors, Transporters, Operations, Projects, and User Departments.
  • Follow up on pending purchase orders and ensure timely material availability.
  • Monitor material lead times and highlight potential shortages in advance.
  • Support procurement teams with inventory data, consumption trends, and material requirements.
  • Coordinate urgent material requirements to avoid operational delays.
6. Quality and Inspection Coordination
  • Coordinate with Quality/Inspection teams for incoming material inspection.
  • Ensure received materials meet approved specifications, purchase orders, and project requirements.
  • Segregate and control rejected, damaged, or non-conforming materials.
  • Maintain proper records of inspection, rejection, replacement and return of materials.
7. Cost Control and Inventory Optimization
  • Identify opportunities to reduce inventory carrying costs.
  • Control excess, obsolete, slow-moving, and dead stock.
  • Minimize material wastage, damage, pilferage, and unnecessary handling.
  • Improve material utilization and storage efficiency.
  • Support management in developing inventory reduction and optimization initiatives.
8. Compliance, Safety and Security
  • Ensure compliance with company policies, statutory requirements, and applicable warehouse/store procedures.
  • Implement appropriate fire safety, PPE, material handling, and workplace safety practices.
  • Ensure safe storage of hazardous, sensitive, and high-value materials wherever applicable.
  • Maintain proper access control and security of inventory.
  • Conduct periodic safety inspections and take corrective actions.
9. MIS and Reporting
  • Prepare and review daily, weekly, and monthly stores MIS reports.
  • Monitor and report:
  • Inventory value
  • Material consumption
  • Slow/non-moving inventory
  • Material receipts and issues
  • Inventory turnover
  • Present key inventory trends and improvement opportunities to management.
10. Audit and Physical Verification
  • Ensure readiness for internal, statutory, customer, and project audits.
  • Coordinate periodic physical stock verification.
  • Investigate and resolve physical-versus-system stock differences.
  • Ensure proper documentation and closure of audit observations.
  • Maintain complete and accurate inventory records.
Qualification & Experience:
  • Bachelor’s degree in Supply Chain Management, Logistics, Operations, Commerce, Engineering, or a related discipline.
  • MBA/PG Diploma in Supply Chain, Logistics, Operations, or Materials Management will be an added advantage.
  • 15–20 years of overall experience, with approximately 10 years of relevant experience in Stores/Warehouse/Inventory/Materials Management.
  • Experience in managing a medium to large-scale warehouse/stores operation.
  • Experience in team handling, inventory control, audits, ERP-based stores management, and cross-functional coordination.
  • Experience in manufacturing, infrastructure, construction, projects, engineering, or similar industries would be preferred.
