Job description

WNY Holidays is looking for an experienced Manager – International MICE Operations who can independently plan, cost and execute international corporate groups and incentive movements.

The candidate must have hands‑on international MICE experience, particularly across Southeast Asia, the Middle East and Europe.

Key Responsibilities

• Independently manage international MICE groups from itinerary planning, costing and supplier negotiations through on‑ground execution and final reconciliation.
• Source and coordinate with DMCs, hotels, venues, transporters, restaurants, activity providers and event‑production partners while protecting service quality and profitability.
• Manage complete group logistics, including flights, visas, hotels, rooming lists, airport transfers, meals, conferences, gala events, sightseeing and incentive activities.
• Prepare accurate operational documents such as movement plans, group schedules, rooming lists, vehicle charts, vendor briefs and event run sheets.
• Coordinate with clients, sales, ticketing, suppliers and on‑ground teams; anticipate risks and manage last‑minute changes or emergencies effectively.
• Track budgets, vendor advances and payment commitments, verify supplier invoices, close event accounts and maintain complete information in our custom CRM.
• Travel with groups whenever required and take responsibility for smooth end‑to‑end execution.

Candidate Profile

• 5–8 years of relevant experience, including previous employment with a recognised MICE, corporate travel or destination‑management company.
• Proven ability to independently operate large and logistically complex international corporate groups.
• Strong destination, DMC and supplier knowledge across Southeast Asia, the Middle East and Europe; exposure to CIS or other international markets is an advantage.
• Sound understanding of group costing, supplier contracting, mark‑ups, payment schedules, event profitability and international MICE logistics.
• Strong communication, negotiation, client‑handling and problem‑solving skills, with proficiency in Excel and technology‑enabled operational systems.
• Willing to travel internationally and capable of managing multiple groups and deadlines simultaneously.

This is a hands‑on operations role for someone who understands how international MICE groups work on the ground—not only itinerary preparation or reservation handling.
