JOB DESCRIPTION – HR EXECUTIVE

Position: HR Executive

Location: Surat, Gujarat

Industry: Manufacturing / Engineering

Job Summary

We are looking for an HR Executive to manage and support day-to-day HR operations, employee coordination, recruitment supervision, attendance, documentation, employee relations, and HR administration. The candidate should be comfortable working in a manufacturing environment and coordinating with both white-collar and blue-collar employees.

Key Responsibilities
1. Recruitment & Hiring
  • Supervise and monitor recruitment activities handled by the Recruiter.
  • Ensure timely closure of open positions and maintain regular follow-up on hiring status.
  • Actively handle recruitment for senior, critical, and specialized positions.
  • Source and screen candidates for senior-level requirements through Naukri, consultants, referrals, and other channels.
  • Conduct initial HR interviews and coordinate technical and management interviews.
  • Monitor recruitment MIS, candidate pipeline, interview status, and joining progress.
  • Coordinate with department heads to understand manpower requirements and ensure timely hiring.
2. Employee Joining & Onboarding
  • Complete joining formalities and ensure collection of required documents.
  • Prepare and maintain employee files and records.
  • Coordinate employee induction and orientation.
  • Ensure employee information is updated accurately in ERP/HRMS.
  • Coordinate ID cards, uniforms, safety equipment, and other joining requirements.
3. Attendance & Leave Management
  • Monitor daily attendance, late coming, absenteeism, leave, and missed punches.
  • Maintain attendance records and coordinate attendance regularization.
  • Follow up with employees and department supervisors regarding attendance issues.
  • Prepare accurate attendance data for payroll processing.
  • Ensure compliance with company attendance and leave policies.
4. Payroll & HR Operations
  • Support monthly payroll processing by providing accurate attendance and leave data.
  • Coordinate and resolve employee payroll-related queries.
  • Maintain employee master data and salary-related records.
  • Assist with PF, ESIC, PT, and other statutory HR activities.
  • Coordinate with Accounts and external agencies wherever required.
5. Employee Relations
  • Handle day-to-day employee queries and concerns.
  • Coordinate with department heads and supervisors regarding employee-related matters.
  • Support grievance handling and disciplinary processes.
  • Communicate company policies, rules, and procedures to employees.
  • Maintain records of warnings, notices, disciplinary actions, and other employee-related matters.
6. HR Documentation & Compliance
  • Maintain employee records, appointment letters, confirmation letters, agreements, and other HR documents.
  • Prepare HR letters, notices, and internal communications.
  • Ensure timely completion of HR documentation and statutory requirements.
  • Maintain confidentiality of employee and company information.
7. Performance & Employee Lifecycle
  • Coordinate probation reviews, employee confirmations, appraisals, and performance-related documentation.
  • Assist with employee transfers, promotions, increments, and other HR processes.
  • Coordinate resignation, exit formalities, clearance, and Full & Final settlement processes.
  • Maintain accurate employee lifecycle records.
8. HR MIS & Reporting
  • Prepare daily, weekly, and monthly HR reports.
  • Maintain recruitment, attendance, manpower, attrition, and employee-related MIS.
  • Monitor HR-related data and provide timely reports to management.
  • Ensure accuracy and timely submission of HR reports.
Required Skills
  • Strong communication and interpersonal skills.

  • Good knowledge of MS Excel and HRMS/ERP systems.
  • Basic knowledge of payroll, attendance, PF, ESIC, PT, and labour compliance.

  • Ability to work effectively in a manufacturing/factory environment.
