Responsibilities

  • Manage day-to-day HR operations for all departments and locations, including HRMS data and employee records.
  • Handle onboarding, induction, transfers, promotions, exits, and queries.
  • Coordinate recruitment for multiple functions, publish job descriptions and manage interviews.
  • Oversee attendance, leave management, and payroll data for processing.
  • Ensure statutory compliance (PF/ESI/ PT) and maintain registers.
  • Support performance review processes and employee engagement activities.
  • Develop and enforce HR policies and circulars; maintain documentation.
  • Handle employee grievances and disciplinary actions with proper records.
  • Prepare HR letters, confirmations, promotions, and exit documentation.
  • Coordinate exit processes, settlements, and asset return.
  • Prepare HR MIS reports: headcount, recruitment, joining/exits, attendance, leave, OT, attrition.
  • Act as a liaison with management and department heads on HR matters.

Job Description
  • 1. HR Operations & Employee ManagementManage day-to-day HR operations for all departments and locations.Maintain employee records, personal files, HR documentation, and HRMS data.Manage employee onboarding, induction, probation confirmation, transfers, promotions, and exits.Handle employee queries, grievances, disciplinary matters, and workplace concerns.Coordinate with Department Heads regarding employee-related issues.Ensure effective communication of company policies, procedures, and HR updates.Monitor employee attendance, leave, late coming, early-out, missing punches, and regularisation.Review and finalise attendance data for payroll processing.
  • 2. Recruitment & Manpower PlanningManage end-to-end recruitment for Retail, Wholesale, E-commerce, Technical, Inventory, Accounts, Customer Care, Media, Product, Admin, and other functions.Coordinate with Department Heads to understand manpower requirements.Obtain necessary management approval for recruitment requirements.Prepare and publish job descriptions and recruitment advertisements.Source candidates through job portals, social media, referrals, recruitment agencies, and other channels.Screen CVs and conduct initial HR interviews.Coordinate department-level and management interviews.Manage offer release, salary negotiation, joining formalities, and recruitment trackers.Maintain a recruitment pipeline and provide regular recruitment status reports to management.Monitor manpower availability and support workforce planning.
  • 3. Attendance, Leave & HRMS ManagementManage attendance through biometric/face-recognition systems and HRMS.Monitor daily attendance and identify attendance discrepancies.Track late-in, early-out, missing punches, absent employees, and leave applications.Ensure timely attendance regularisation and approval.Monitor leave balances and leave utilisation.Coordinate with Department Heads for attendance and leave approvals.Maintain accurate employee data and HR records in the HRMS.Coordinate with HRMS/software vendors for system-related issues and improvements.
  • 4. Payroll & CompensationCoordinate monthly payroll preparation and verification.Verify attendance, LOP, overtime, incentives, allowances, advances, loans, and other payroll inputs.Review salary registers before processing.Coordinate with Accounts/Finance for timely salary processing.Monitor salary advances and employee loans as per company policy.Coordinate monthly OT calculations and approvals.Ensure payroll-related employee queries are resolved promptly.Maintain payroll records and reports.
  • 5. Statutory ComplianceEnsure compliance with applicable labour and statutory requirements.Coordinate PF, ESI, Professional Tax, and other statutory processes.Manage employee PF/ESI registration, updates, exits, and related documentation.Coordinate statutory filings and payment processes with Accounts/Finance.Maintain statutory registers and employee compliance records.Coordinate with external consultants, auditors, and government authorities when required.Keep management informed about important statutory changes affecting the organisation.
  • 6. Employee Performance & EngagementCoordinate employee performance review processes.Support Department Heads in setting and monitoring employee targets/KPIs.Track probation reviews and confirmation decisions.Identify performance-related concerns and coordinate corrective actions.Develop employee recognition and reward initiatives.Support employee engagement activities, celebrations, and internal events.Promote a positive and professional workplace culture.
  • 7. HR Policies & Process DevelopmentDevelop, implement, and periodically review HR policies and procedures.Ensure employees understand and follow company policies.Prepare HR circulars, notices, guidelines, and internal communications.Maintain proper documentation for disciplinary actions and policy violations.Continuously improve HR processes to increase efficiency and accountability.
  • 8. Employee Relations & Disciplinary ManagementHandle employee grievances professionally and confidentially.Investigate employee complaints and workplace issues.Coordinate disciplinary procedures when required.Issue warning letters, show-cause notices, and other HR communications based on management decisions.Maintain proper documentation of employee-related cases.Work closely with management and Department Heads to resolve employee issues.
