Qualifications

  • MBA/PG in HR or Labour Laws; relevant certifications are a plus.
  • 15+ years of experience in Industrial Relations & Administration, preferably in manufacturing/plant environments.
  • Strong governance, compliance, and stakeholder management skills.
  • Experience in handling IR disputes, labour laws, and compliance with CLRA and related acts.

Responsibilities

  • Lead administrative operations including facilities, security, transport, canteen, housekeeping, and guest house services.
  • Coordinate with internal departments, vendors, and service providers for smooth day-to-day plant administration.
  • Oversee asset, infrastructure, and utility management ensuring uninterrupted services and compliance.

GM Administration
POSITION SUMMARY (Role Purpose)

To lead and strengthen the Administrative functions & Industrial Relations (IR) by ensuring all administrative task assignment statutory compliance, maintaining harmonious employee and labour relations, and managing end-to-end plant administrations.

The role is critical in ensuring smooth, safe, and uninterrupted operations, strong governance, and positive engagement with internal and external stakeholders.

KEY ACCOUNTABILITIES (Set of key duties and responsibilities)
Administrations & Industrial Relations Strategy & Governance
  • Lead and manage overall administrative operations including facilities, security, transport, canteen, housekeeping, and guest house services.
  • Coordinate with internal departments, vendors, and service providers for smooth day-to-day office and plant administration.
  • Oversee asset, infrastructure, and utility management ensuring uninterrupted services and compliance.
  • Monitor administrative compliance, audits, registers, and MIS reporting for governance and transparency.
  • Develop and implement Industrial Relations strategies aligned with organizational and business objectives.
  • Establish proactive mechanisms to maintain industrial harmony and workforce stability.
  • Anticipate and mitigate IR risks through structured engagement and governance frameworks.
Employee Relations
  • Maintain healthy and constructive relationships with labours employees, contractors, Hamaal and workforce representatives.
  • Lead negotiations, settlements, and discussions with unions as required.
  • Act as a trusted leadership interface for resolving sensitive people matters.
Disciplinary Actions & Dispute Management
  • Handle disciplinary actions, domestic enquiries, grievance redressal, and dispute resolution in a fair, legally compliant, and timely manner.
  • Ensure proper documentation, enquiry procedures, and closure of cases as per labour laws and company policy.
  • Prevent escalation of disputes through early intervention and dialogue.
Statutory Compliance & Legal Representation
  • Ensure 100% compliance with all applicable labour laws, statutory regulations, and industrial legislations.
  • Represent the organization before labour authorities, tribunals, courts, and statutory bodies.
  • Coordinate with legal advisors and consultants on labour-related cases and compliance matters.
Contract Labour, Hamaal & CLRA Compliance
  • Oversee management of Hamaal, contract labour and ensure compliance with CLRA Act and other applicable laws.
  • Monitor contractor compliance, licensing, wage payments, statutory benefits, and audits.Strengthen governance and controls related to contract labour engagement.
Security & Surveillance Management
  • Ensure round-the-clock security of plant, office, guest house, and assets through effective deployment of security personnel.
  • Monitor and maintain CCTV systems, access control, visitor management, and surveillance records.
  • Coordinate with security agencies and local authorities for incident handling and emergency preparedness.
  • Conduct regular security audits and ensure closure of gaps or non-compliances.
  • Maintain security registers, incident reports, and compliance documentation.
Vehicle Management
  • Manage company vehicles including allocation, scheduling, and routing for employees, guests, and official use.
  • Ensure availability of trained drivers, adherence to safety norms, and vehicle discipline.
  • Monitor vehicle logbooks, fuel consumption, GPS tracking, FASTag recharge, and maintenance schedules.
  • Coordinate repairs, insurance, pollution certificates, and statutory vehicle documents.
  • Optimize vehicle utilization and control transportation costs.
Canteen Operations
  • Oversee day-to-day canteen operations to ensure quality food, hygiene, and timely service.
  • Ensure compliance with FSSAI, statutory, and internal hygiene standards.
  • Coordinate with canteen vendors on menu planning, pricing, staffing, and service levels.
  • Handle employee feedback and complaints related to canteen services.
  • Monitor canteen bills, attendance, and cost controls.
Housekeeping & Hygiene
  • Ensure cleanliness and hygiene across offices, plant areas, common spaces, washrooms, and surroundings.
  • Supervise housekeeping staff and vendors for adherence to cleaning schedules and SOPs.
  • Implement and sustain 5S practices to maintain an organized, clutter-free workplace.
  • Ensure periodic deep cleaning, sanitization, and pest control activities.
  • Maintain hygiene checklists and audit readiness.
Guest House Management
  • Manage end-to-end guest house operations including bookings, upkeep, housekeeping, and security.
  • Ensure availability of clean rooms, amenities, and essential services for guests.
  • Maintain guest records, feedback, and compliance documentation.
  • Coordinate with vendors for repairs, utilities, and supplies.
  • Ensure cost control and budget adherence for guest house operations.
Safety, Discipline & Employee Facilities
  • Ensure a safe working environment by coordinating with safety teams and enforcing safety rules.
  • Monitor employee discipline, workplace behavior, and adherence to company policies.
  • Ensure employee facilities such as rest rooms, drinking water, lighting, and ventilation are well maintained.
  • Support safety audits, mock drills, and awareness programs.
  • Ensure closure of unsafe conditions and unsafe acts.
5S & Kaizen Implementation
  • Drive 5S implementation across administrative and facility areas for workplace efficiency.
  • Conduct regular 5S audits and ensure corrective actions.
  • Encourage and support Kaizen initiatives focused on cost reduction, safety improvement, and operational efficiency.
  • Track Kaizen suggestions, implementation status, and benefits achieved.
  • Promote a culture of continuous improvement and employee involvement.
Time Office & Workforce Management
  • Oversee Time Office operations, attendance systems, shift management, and statutory records.Ensure accuracy, transparency, and audit readiness of time and attendance data.
Budgeting, Vendors & Cost Optimization
  • Manage administration and IR budgets, ensuring cost control and optimal utilization of resources.Lead vendor management, contracts, renewals, and service-level governance.
  • Drive cost optimization initiatives without compromising safety or employee welfare.
Leadership, SOPs & Governance
  • Lead, mentor, and develop IR & Administration teams. Establish and strengthen SOPs, policies, systems, and governance frameworks. Promote a culture of compliance, fairness, and accountability.
MIS & Management Reporting
  • Provide regular MIS, dashboards, and reports on IR, administration, compliance, disputes, and costs to senior management.
  • Highlight risks, trends, and improvement opportunities with actionable insights.

MBA/Postgraduate in HR, Labour Laws, Personnel Management, or related discipline

15+ years of experience in Industrial Relations & Administration, preferably in manufacturing / plant environment
