Job Summary
We are looking for a responsible and detail-oriented GeM Tender & HR/Admin Executive who can independently handle Government e-Marketplace (GeM) tendering activities, tender documentation, bid submission, and related government procurement work, along with HR and general administrative responsibilities.
The ideal candidate should have good knowledge of the GeM portal, tender procedures, documentation, compliance, and coordination with government departments, along with the ability to manage day-to-day HR and administrative activities.
Key Responsibilities
GeM Tender & Government Procurement
- Search and identify relevant GeM tenders, bids, and government procurement opportunities.
- Review tender documents, eligibility criteria, technical specifications, EMD, turnover requirements, experience requirements, and other conditions.
- Prepare and submit GeM bids/tenders within the stipulated timelines.
- Prepare and maintain technical and commercial tender documentation.
- Coordinate with internal teams to collect required certificates, documents, quotations, product details, and compliance information.
- Handle GeM bid participation, product/service listing, catalogue management, order-related activities, and documentation.
- Monitor tender status, bid results, purchase orders, and subsequent requirements.
- Coordinate with government departments/customers regarding tender-related queries and documentation.
- Maintain proper records of all submitted bids, documents, orders, and correspondence.
- Ensure compliance with tender terms, GeM guidelines, and company requirements.
- Assist in preparing tender quotations, declarations, undertakings, affidavits, authorization letters, and other supporting documents.
- Track deadlines and ensure timely submission of all bids and documents.
HR Responsibilities
- Handle day-to-day HR operations and employee documentation.
- Maintain employee records, attendance, leave, and personnel files.
- Assist with recruitment, candidate coordination, interview scheduling, and joining formalities.
- Prepare appointment letters, offer letters, HR documents, and other employee-related correspondence.
- Coordinate employee onboarding and exit formalities.
- Support payroll inputs, attendance records, leave records, and related HR data.
- Assist in implementing company HR policies and procedures.
- Maintain confidentiality of employee and company information.
Administration Responsibilities
- Manage day-to-day office administration and general administrative activities.
- Coordinate with vendors, service providers, and office support staff.
- Maintain office records, agreements, licenses, and important documents.
- Handle purchase of office supplies and maintain inventory.
- Coordinate travel, meetings, courier, correspondence, and other administrative requirements.
- Maintain proper filing and documentation systems.
- Support management in various operational and administrative activities.
- Coordinate with different departments to ensure smooth day-to-day functioning of the organization.
Required Skills
- Good working knowledge of the GeM (Government e-Marketplace) portal.
- Experience in GeM tender/bid submission and government tenders.
- Strong understanding of tender documentation and compliance requirements.
- Good knowledge of MS Office, especially Excel and Word.
- Excellent documentation and record-keeping skills.
- Good communication and coordination skills.
- Strong attention to detail and ability to meet deadlines.
- Ability to work independently and handle multiple responsibilities.
- Basic knowledge of HR processes and office administration.
- Good drafting skills for official letters, declarations, undertakings, and correspondence.
Qualification
Graduate in any discipline. Candidates with qualifications or experience in Business Administration, HR, Commerce, or related fields will be preferred.
Preferred Experience
- 2–5 years of experience in GeM tendering / government tender work.
- Experience handling HR & Administration will be an added advantage.
- Candidates who have independently handled the complete GeM tender process will be preferred.
