Job summary

Nivoda Llp is seeking a detail-oriented Fulfilment Executive to manage international import shipments into India, with a focus on return shipments. The ideal candidate has 1–2 years in international logistics, strong coordination across APAC, EMEA, and US, and proficiency with MS Excel and ERP platforms.

Job description

We are seeking a detail-oriented and proactive Fulfilment Executive to manage and coordinate international import shipments into India, with a particular focus on return shipment follow-up. The role involves managing international inbound shipments and coordinating with overseas offices, logistics partners, customs brokers, and internal teams to ensure timely customs clearance and delivery while maintaining compliance with applicable import regulations.

The ideal candidate will have experience in international logistics and import operations, strong customs coordination skills, and the ability to collaborate effectively with global teams in a fast-paced environment.

Key Responsibilities

1. Import Shipment Management

• Coordinate and monitor all inbound international shipments into India and ROW.
• Track shipments from origin through customs clearance to final delivery.
• Provide timely and accurate shipment status updates to internal stakeholders.
• Coordinate pickup, transportation, and delivery schedules with freight forwarders, courier partners, and warehouses.
• Proactively identify and resolve shipment delays, exceptions, and operational issues.
• Follow up on return shipments to ensure timely transit, clearance, and delivery.

2. Customs Clearance & Documentation

• Prepare, verify, and maintain all import documentation required for customs clearance.
• Coordinate with customs brokers/CHAs, freight forwarders, and internal compliance teams to ensure smooth and timely clearance.
• Handle customs-related queries, inspections, documentation discrepancies, and clearance exceptions.
• Ensure compliance with applicable customs and import regulations.
• Liaise with Finance and Operations teams regarding import duties, taxes, and clearance documentation.

3. Cross-Functional & Global Coordination

• Work closely with APAC, EMEA, and US offices to coordinate supplier shipments into India.
• Collaborate with Operations, Customer Support, Finance, and ROW Hub teams for shipment planning and exception management.
• Ensure clear and timely communication between international suppliers, logistics partners, and internal stakeholders.
• Coordinate effectively across different time zones to ensure smooth shipment movement.

4. Process Management & Improvement

• Monitor return shipment transit timelines, customs clearance turnaround times, and delivery performance.
• Maintain accurate shipment records and ensure timely closure of shipments.
• Identify process gaps and recommend improvements to enhance logistics efficiency and reduce delays.
• Support the implementation and adherence to standard operating procedures for import operations.

Requirements

• 1-2 years of experience in international logistics, import operations, freight forwarding, or customs coordination.
• Working knowledge of customs clearance processes and import documentation.
• Strong attention to detail and ability to follow compliance procedures accurately.
• Comfortable coordinating with cross-functional and international teams across APAC, EMEA, and the US.
• Strong written and verbal communication skills.
• Proactive, organised, and capable of independently resolving operational issues in a fast-paced environment.
• Strong computer proficiency, including working knowledge of MS Excel.
• Comfortable working with operational and ERP platforms.
• Ability to manage multiple shipments and priorities simultaneously.
