Job summary

Jones Lang LaSalle Incorporated is seeking a Facilities Operations & Maintenance professional for Bengaluru on-site operations. You will develop preventive and predictive maintenance plans for electrical, mechanical, and HVAC systems, and manage breakdowns and vendor contracts to ensure minimal downtime.

The role focuses on budgeting, asset management, emergency response, safety adherence, and rigorous documentation of all maintenance activities, ensuring compliance with SOPs and regulatory

Qualifications

  • Experience developing preventive maintenance plans for electrical, mechanical, and HVAC systems.
  • Ability to create maintenance schedules to minimise downtime.
  • Experience coordinating with external vendors and managing contracts.
  • Strong documentation of maintenance activities and SOP adherence.

Responsibilities

  • Develop and implement preventive and predictive maintenance plans for equipment and building systems (electrical, mechanical, HVAC).
  • Create and maintain maintenance schedules to minimise downtime.
  • Oversee breakdown response, diagnose faults, and implement repair solutions.
  • Manage vendor relationships, contracts, SLAs and cost controls.
  • Track budget, propose capital expenditures for facility upgrades, and optimize costs.
  • Maintain asset inventory and space utilization for efficient operations.
  • Coordinate emergency handling, drills, and safety compliance.

Facility Operations & Maintenance Management
  • Develop and implement preventive and predictive maintenance plans for equipment and building systems (electrical, mechanical, and HVAC)
  • Create and maintain a maintenance schedule to minimize downtime and disruptions.
  • Ensure availability of spare parts, tools, and resources required for maintenance activities.
  • Plan corrective maintenance tasks based on equipment inspections and reports.
Break Down Maintenance
  • Respond immediately to equipment breakdowns to minimize downtime.
  • Diagnose faults and determine repair solutions.
  • Conduct detailed investigations on repeated failures.
  • Maintain a history log of breakdowns and solutions applied.
  • Develop and implement preventive maintenance schedules.
  • Ensure timely servicing of critical equipment.
  • Maintain records of all breakdown incidents and repair work.
Work Order & Documentation Management
  • Maintain detailed records of maintenance activities, inspections, and repairs.
  • Ensure compliance with documentation standards, including SOPs, safety procedures, and regulatory requirements.
Vendor Management
  • To oversee and manage external vendors and suppliers.
  • Sourcing, negotiating contracts, ensuring compliance, monitoring performance, and optimizing vendor relationships to align with business objectives based on company needs.
  • Negotiate contracts, pricing, and service level agreements (SLAs).
  • Ensure vendors meet company policies and compliance requirements.
Budgeting & Cost Control
  • Track expenses and implement cost-saving measures without compromising quality.
  • Propose capital expenditures for facility upgrades and improvements.
  • Develop and manage the facilities budget, ensuring cost-effective operations.
Asset & Space Management
  • To Maintain an accurate inventory of facility assets and equipment
  • Optimize space utilization for operational efficiency.
  • Coordinate in workspace modifications, relocations, and renovations.
Emergency Handling
  • Lead emergency response efforts during incidents such as fire, accidents, equipment failure, or natural disasters
  • Conduct risk assessments to identify potential hazards.
  • Coordinate with internal teams, first responders, and government agencies.
  • Plan and execute emergency drills (e.g., fire, evacuation, medical emergencies).
  • Train teams on first aid, fire safety, and crisis communication.
  • Ensure proper functioning of backup power systems, fire suppression systems, and security infrastructure.
Energy Conservation
  • Train teams on first aid, fire safety, and crisis communication.
  • Identify opportunities for reducing energy waste and improving operational efficiency.
  • Monitor and analyze energy consumption data to identify trends and inefficiencies.
  • Recommend improvements to reduce costs and carbon footprint.
  • Work with facility HOD, operations teams, and engineers to optimize energy use.
Maintenance Documentation
  • Maintain detailed records of maintenance activities, repairs, and inspections.
  • Develop and update maintenance manuals, procedures, and guidelines.
  • Ensure proper documentation of spare parts inventory and usage.
  • Assist in developing and documenting preventive maintenance schedules.
  • Record and track equipment performance for predictive maintenance analysis.
  • Ensure proper data entry, tracking, and retrieval of maintenance records.
HSE Procedures Adherence
  • Ensure proper use of PPE (Personal Protective Equipment) and safety protocols.
  • Ensure employees understand and follow emergency response procedures.
  • Ensure availability of first aid kits, fire extinguishers, and other emergency resources.
  • Develop and conduct HSE training sessions for employees and contractors.
  • Identify potential hazards and conduct risk assessments in the workplace.
  • Coordinate in conducting fire mock drill timely with H&S team
