Job summary

Facility Manager Position Overview

The Facility Manager is responsible for overseeing the comprehensive operations, maintenance, and safety of building systems, infrastructure, and soft services. This role requires a strong technical background combined with expertise in managing integrated facility services to ensure optimal facility performance, occupant satisfaction, and a safe, efficient, compliant work environment. The position encompasses both hard services (building systems) and soft services (workplace support services) while establishing robust governance frameworks.

Key Responsibilities
Technical Operations & Maintenance

Oversee all building systems including HVAC, electrical, plumbing, fire/life safety, and building automation systems (BMS/BAS). Develop and implement preventive maintenance programs to maximize equipment lifespan and minimize downtime. Diagnose technical issues and coordinate repairs with internal teams or external vendors. Monitor energy consumption and implement efficiency initiatives to reduce operational costs. Maintain accurate documentation of all building systems, equipment specifications, and maintenance records.

Soft Services Management

Manage integrated workplace services including janitorial, security, catering, reception, mail room, and hospitality services. Oversee landscaping, pest control, waste management, and environmental services. Coordinate employee amenities such as cafeteria operations, fitness facilities, and conference room services. Implement and monitor service level agreements (SLAs) for all soft service providers. Conduct regular service quality audits and implement continuous improvement initiatives. Manage occupant experience programs to enhance workplace satisfaction and productivity.

Facility Management

Manage facility operations including space planning, moves/adds/changes, and workplace services. Ensure compliance with local building codes, safety regulations, OSHA standards, and environmental requirements. Develop and manage facility budgets for both hard and soft services, tracking expenses and identifying cost‑saving opportunities. Coordinate with contractors, vendors, and service providers for repairs, projects, and specialized services. Implement workplace standards and ensure consistent service delivery across all facility functions.

Governance & Compliance

Establish and maintain facility management governance framework including policies, procedures, and standards. Develop and implement key performance indicators (KPIs) and service metrics for all facility operations. Create reporting dashboards and conduct regular performance reviews against established benchmarks. Ensure compliance with health, safety, environmental, and regulatory requirements across all services. Manage vendor governance including contract compliance, performance monitoring, and relationship management. Maintain comprehensive documentation for audits, inspections, certifications, and regulatory filings. Implement risk management protocols and maintain business continuity plans.

Safety & Compliance

Implement and maintain health and safety programs including emergency response procedures. Conduct regular facility inspections and safety audits to identify and mitigate risks across both hard and soft services. Ensure compliance with ADA accessibility requirements and environmental regulations. Lead incident investigations and implement corrective actions. Oversee security protocols, access control systems, and visitor management programs.

Project Management Plan and execute capital improvement projects and facility upgrades

Coordinate renovation and construction projects from planning through completion. Manage soft services transition projects and service provider changes. Manage project timelines, budgets, and stakeholder communications. Ensure minimal disruption to building occupants during projects.

Vendor & Contract Management

Establish vendor selection criteria and lead procurement processes for facility services. Negotiate and manage contracts for both technical services and soft services providers. Monitor vendor performance against SLAs and conduct regular service reviews. Develop strategic partnerships with key service providers. Implement vendor scorecards and performance improvement plans when necessary.

Team Leadership & Stakeholder Management

Supervise facility maintenance staff and coordinate work assignments across technical and service teams. Provide technical guidance and training to team members. Conduct performance evaluations and support professional development. Foster a culture of continuous improvement and operational excellence. Build strong relationships with building occupants, department heads, and executive stakeholders. Conduct regular client/occupant satisfaction surveys and act on feedback.

Required Qualifications
Education

Bachelor’s degree in Facilities Management, Engineering (Mechanical, Electrical, or Industrial), Building Science, Business Administration, or related technical field. Equivalent combination of education and experience may be considered.

Experience

7-10 years of progressive facilities management experience with demonstrated technical expertise and soft services management. 3‑5 years in a supervisory or leadership role managing integrated facility services. Experience managing commercial office buildings, corporate campuses, or multi‑site portfolios. Proven track record in vendor management and contract administration.

Technical Knowledge

Strong understanding of building mechanical, electrical, and plumbing (MEP) systems. Proficiency with building automation systems and energy management platforms. Knowledge of HVAC theory, electrical distribution, and control systems. Familiarity with CMMS (Computerized Maintenance Management Systems) and CAFM (Computer‑Aided Facility Management) systems. Understanding of building codes, OSHA regulations, and safety standards. Experience with integrated workplace management systems (IWMS) preferred.

Soft Services Expertise

Comprehensive understanding of soft services delivery models and best practices. Experience managing multiple service providers simultaneously. Knowledge of cleaning standards, security protocols, and hospitality services. Understanding of occupant experience principles and workplace strategy. Familiarity with catering operations, mailroom services, and amenity management.

Governance & Financial Management

Strong budgeting and financial analysis capabilities for multi‑service portfolios. Experience developing and implementing governance frameworks and service standards. Proficiency in KPI development, reporting, and performance management. Contract negotiation and vendor management expertise. Experience with service level agreement (SLA) creation and monitoring.

Skills

Strong analytical and problem‑solving abilities with technical troubleshooting expertise. Excellent project management and organizational skills. Effective communication skills for technical and non‑technical audiences across all organizational levels. Proficiency with Microsoft Office Suite, facility management software, and reporting tools. Budget development and financial management capabilities. Ability to read and interpret technical drawings, blueprints, and specifications. Strong negotiation and conflict resolution skills. Working Conditions

Standard business hours with flexibility for emergency situations and service provider coordination. On‑call availability for critical facility issues. May require travel between multiple sites if managing portfolio.
