The role of a Facility Executive (Soft Services) is focused on managing non-technical facility operations to ensure a clean, safe, and efficient environment. Key responsibilities typically include:

• Site Operations & Maintenance:
  • Oversee housekeeping, janitorial services, pantry management, and cafeteria audits to ensure hygiene and cleanliness standards are met.
  • Conduct regular facility rounds, inspections, and walkthroughs to identify and resolve issues, often raising and closing tickets.
  • Manage operational processes such as mailroom operations, waste management (segregation and disposal), pest control, and landscaping.
  • Ensure timely availability of consumables, food and beverage items, and stationery.
  • Coordinate office moves and space planning activities.
• Vendor & Staff Management:
  • Manage and monitor vendors (e.g., housekeeping, security, pest control, catering) to ensure adherence to Service Level Agreements (SLAs) and high-quality service delivery.
  • Supervise housekeeping, pantry, and soft services staff, including deployment, training, grooming, and attendance monitoring.
  • Process vendor invoices and conduct vendor background checks.
• Administration, Compliance & Reporting:
  • Prepare and submit daily, weekly, and monthly reports (e.g., MIS reports, stock trackers, attendance).
  • Maintain inventory records (FIFO, stock registers) and asset registers.
  • Ensure statutory and safety compliance (EHS), including managing licenses, work permits, and audit documentation.
  • Assist the Facility Manager (FM) with administrative functions, financial tasks like monthly accruals, and client-related requests.
• Client & Occupant Support:
  • Serve as a point of contact for clients and occupants, handling service requests, complaints, and escalations promptly.
  • Coordinate visitor management, guest services, meeting room bookings, and event logistics.
