Role & responsibilities

• Order Sheet Tracking: Own and update the master export sales spreadsheets in MS Excel (tracking production milestones, delivery logs, and shipping timelines).
• Client Correspondence: Handle day-to-day email follow-ups with overseas buyers, share product catalogs, and send corporate introductory profiles.
• Minutes of the Meeting (MOM): Handle administrative note-taking during corporate buyer meets, drafting clean, actionable MOM summaries for the team.
• Testing & Compliance Coordination: Manage documentation and follow up with international testing labs (Intertek, Bureau Veritas, SGS) for product safety certifications.
• Sample Logistics Management: Supervise the counter-sample log, ensuring finished products are inspected for quality, professionally packed, and dispatched via courier.
• Travel Readiness: Fully prepared for domestic and international business travel to support trade fair setups and corporate client meetings on short notice.

Preferred candidate profile

• Experience: 1 to 4 years of solid experience as an Export Coordinator, Sales Support Executive, or Executive Assistant in a manufacturing or sourcing setup.
• Target Industry Background: Prior experience in Stationery, Writing Instruments (Pencils/Pens), School/Office Supplies, or Art & Craft manufacturing export houses is highly preferred (handling consumer retail packaging, safety norms, and distribution logistics).
• Key Skills: Flawless written English grammar, strong administrative follow-up skills, and high proficiency in MS Excel for managing data sheets.
• Passport & Travel: Must hold a valid, active passport and be fully comfortable with short-notice domestic and international business travel for corporate meets and trade fairs.
