Job summary

Elite Digital Logistics in Chennai, India is seeking an Executive Logistics to manage export orders, documentation, booking with carriers, and shipment tracking. • Plan and place bookings with carriers and release bookings to Country/Customer teams.
• Enter shipment information in OS and customer's systems.
• Monitor shipment status and report irregularities.
• Prepare and submit Shipping Instructions with shipper/consignee details and HS codes.
• Coordinate draft Bill of Lading with carriers; verify details vs. SI.
• Update HS codes and cargo descriptions accurately to meet deadlines.

Job description

As an Executive logistics, you are in charge of:

• Acknowledge incoming export orders from customers and ensure correct order intake into our operating system
• Handling Export documentation and perform export process related to the job assigned.
• Planning and placing booking with the carriers and releasing bookings to the Country team or Customer
• Enter shipment information in our operating system as well as the customers systems
• Shipment status tracking and monitoring: continuously monitor the export shipment and report irregularities
• Prepare and submit SI with all necessary details/Country spec., such as shipper/consignee information, cargo desc. (HS code, weight, volume & etc.)
• Follow-up with shipping line for draft Bill of Lading. Proof-read and correct draft Bill of lading details against the shipping instruction or customer related documents. Verify container details & weights.
• Update HS codes and cargo descriptions are accurately entered in operations system as per shipping instruction or shippers documents. Ensure timely submission & confirmation to meet Internal KPI & carrier deadlines to avoid delays.

Documents

• Maintaining records of daily SI submission orders & updating regularly. Tracking of booking confirmation, bill of lading confirmation,
• Vessel sailing confirmation and document dispatch. To update daily status update and to keep stakeholders (internal colleagues) informed about the status of the documents.
• Prepare documentation (Bill of Lading, invoice, packing list, COA, COO, Marine Insurance, ETC)
• Arrange for docs submission to customers (courier or email) and meet the delivery time frame committed.
• To perform any other ad-hoc additional assignments as given by the immediate Superior/Manager/Management
• Maintain quality standard for operational export procedures and improve them where necessary
• Read e-mails several times daily and reply to all emails within 24hrs. Ability to solve operational problems associated to the trade
• Familiar with processing incoming & outgoing invoices is a plus.
