We are looking for a highly organized, proactive and professional Executive Assistant to the Managing Director (MD) to provide executive, administrative and business coordination support.
The candidate will work closely with the Managing Director, Business Heads, CFO Office, Project Development Teams and other senior stakeholders to ensure effective coordination, timely follow-ups and smooth execution of key business activities.
The ideal candidate should have prior experience supporting a MD/CEO/CXO, excellent communication and coordination skills, strong proficiency in MS Office, and the ability to manage multiple priorities with confidentiality and discretion.
Executive & Business Support
Manage the MD's calendar, appointments, meetings and daily schedule. Coordinate with Business Heads, Functional Heads, CFO Office and Project Teams on key business initiatives. Follow up with internal and external stakeholders to ensure timely completion of tasks and deliverables. Prepare business briefs, reports, presentations and information required by the MD. Conduct research, data analysis and market/comparable analysis to support business decisions. Monitor important business initiatives and ensure timely follow-up and execution.
MIS & Reporting
Collect, consolidate and analyze business and project-related data. Prepare MIS reports, business updates, project performance reports and management dashboards. Prepare PowerPoint presentations and reports for the MD and Senior Leadership Team. Track project milestones, timelines, pending actions and key deliverables. Highlight delays, risks, gaps and important matters requiring management attention.
Meetings & Follow-ups
Schedule and coordinate internal and external meetings. Prepare meeting agendas and supporting documents when required. Prepare Minutes of Meetings (MOM) and maintain action trackers. Follow up with concerned teams and stakeholders until action items are closed.
Travel & Logistics
Plan and coordinate the MD's domestic and international business travel. Manage flight bookings, hotels, transportation, appointments and travel itineraries. Coordinate meetings and business appointments during travel. Valid passport is mandatory. Candidate must be willing to travel nationally and internationally, including short-notice travel as required.
Finance & Administrative Coordination
Coordinate with the CFO Office and Finance team on required business and financial follow-ups. Follow up on bills, vouchers, expenses, payments and related documentation. Support coordination for periodic financial and business reporting. Assist in identifying cost optimization and operational efficiency opportunities. Handle emails, letters, official correspondence and other administrative requirements on behalf of the MD. Maintain confidentiality of sensitive business and financial information.
Stakeholder Management
Act as a coordination point between the MD and internal/external stakeholders. Coordinate with Finance, Legal, HR, Projects, Sales & Marketing and other functions. Liaise with consultants, advisors, vendors, suppliers, group companies and business partners. Ensure effective communication and coordination across departments.
Project & Process Coordination
Support monitoring of key real-estate projects and strategic initiatives. Track project progress, deadlines, dependencies and pending decisions. Proactively flag risks, delays and bottlenecks to the MD. Support development of structured trackers and workflows to improve business execution. Ensure management decisions and assigned tasks are followed through to closure.
Graduate in any discipline. 5-7 years of relevant experience as an Executive Assistant. Prior experience supporting a MD, CEO, CXO or senior leadership is preferred. Experience in Real Estate, Property Development or Infrastructure will be an advantage. Strong proficiency in MS Excel, PowerPoint and Word. Good analytical, reporting and presentation skills. Excellent verbal and written communication skills. Strong stakeholder management and interpersonal skills. Ability to manage multiple priorities and work under tight deadlines. Strong follow-up, coordination and execution skills. Professional, presentable, proactive and solution-oriented. Ability to handle confidential information with maturity and discretion.
Valid Passport - Mandatory. Willingness to travel nationally and internationally. Comfortable with short-notice business travel when required.
