Job summary

PCK Agri Ventures in Indore is seeking an experienced Executive Assistant to support the Managing Director with high-level administrative duties. You will manage calendars, travel plans, meetings and confidential correspondence, while drafting professional communications and maintaining rigorous documentation.

The role requires 3–8 years of relevant experience, strong business acumen, and excellent English and Hindi communication. This position is based on-site in Indore.

Qualifications

  • MBA/BE/B.Tech/CA Inter or commerce graduate with MBA and strong business analytics.
  • 3–8 years in Executive/Personal Assistant or CXO-facing roles.
  • Experience with MD/CEO-level executives is mandatory.
  • Excellent English and strong Hindi writing and speaking.
  • Advanced MS Excel/Word/PowerPoint and MIS reporting skills.

Responsibilities

  • Act as primary contact between MD and internal teams, clients, vendors and authorities.
  • Manage MD calendar, travel, meetings and daily priorities; draft official docs.
  • Screen calls and emails; prepare emails, reports and presentations.
  • Prepare MoM, agendas and follow up on action points; track status reports.
  • Coordinate with plants, offices and departments for timely execution.

Location: Indore (Nipania), Madhya Pradesh

Industry: Manufacturing

Office Hours: 10:00 AM 7:00 PM

Travel Requirement: Travel across India as and when required (not on a regular basis)

Candidate Profile :

We are looking for a candidate who possesses excellent business maturity, professionalism and the ability to independently manage executive-level responsibilities.

Educational Qualification :
  • MBA (Preferred) / BE/B.Tech / CA Inter / Commerce Graduate with MBA /Any professional qualification with strong business and analytical capabilities.
Experience--
  • Minimum 3-8 years of experience as an Executive Assistant, Personal Assistant, Executive Coordinator or similar role.
  • Prior experience working with a Managing Director, CEO, Director or other CXO-level executive is mandatory.
  • Experience in a manufacturing organization will be preferred.
Communication--
  • Excellent spoken and written English.
  • Strong verbal and written Hindi.
Technical Skills--
  • Advanced Microsoft Excel, Microsoft Word, PowerPoint, MIS Reporting, Business Presentation Preparation.
Analytical Skills--

Strong mathematical aptitude.

  • Excellent logical reasoning and analytical ability.
  • Ability to interpret financial and operational reports.
Key Responsibilities :
Executive & Administrative Support--

Act as the primary point of contact between the Managing Director and internal teams, clients, consultants, vendors, government authorities and business associates.

  • Manage the MD's calendar, appointments, meetings, travel schedules and daily priorities.
  • Handle confidential correspondence, business communication and official documentation.
  • Screen calls, emails and meeting requests while prioritizing them appropriately.
  • Draft professional emails, letters, presentations, reports, notices and official correspondence on behalf of the Managing Director.
  • Organize meetings, prepare agendas, record Minutes of Meeting (MoM) and ensure timely follow-up of action points.
  • Prepare accountability sheets, delegation trackers and status reports for various business activities.
Business Coordination
  • Coordinate with manufacturing plants, corporate office and branch offices for smooth execution of business activities.
  • Visit factories and company locations across India whenever required.
  • Coordinate with departmental heads and ensure timely completion of assignments delegated by the Managing Director.
  • Monitor pending tasks, commitments and business deadlines.
  • Maintain excellent coordination with clients, consultants, vendors, suppliers and business partners.
  • Assist the Managing Director in project coordination and implementation.
Documentation
  • Draft, review and maintain various business documents, agreements, contracts, MOUs, NDAs and official records.
  • Ensure proper documentation of important business records and correspondence.
Commercial & Financial Support
  • Assist in preparation of MIS reports, business analysis and management presentations.
  • Prepare analytical reports using Microsoft Excel.
  • Support the Managing Director in reviewing business performance and financial reports.
  • Understand and interpret business concepts such as: EBITDA, Break-even Analysis, Profit & Loss Statements, Cost Analysis, ROI, Compounding Interest Per Square Feet Profitability, Business Ratios, Financial Projections
  • Perform mathematical calculations and data analysis with a high degree of accuracy.
Travel & Event Management
  • Arrange domestic and international travel, hotel bookings and itineraries.
  • Coordinate business meetings, conferences and official visits.
  • Ensure smooth travel planning and documentation.
Communication & Relationship Management

Maintain excellent communication with all stakeholders.

Carry out official communication on behalf of the Managing Director.

Ensure timely responses to business communications.
