Position: Executive Assistant to the Managing Director (MD)

About the Role
Eminent Group is seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and strategic support to the Managing Director. The ideal candidate will act as a trusted partner to the MD, ensuring smooth day-to-day operations, effective communication, and seamless coordination across all business functions.
Key Responsibilities
Executive Support
- Manage the Managing Director's calendar, appointments, meetings, and travel schedules.
- Screen, prioritize, and respond to emails, phone calls, and correspondence on behalf of the MD.
- Prepare agendas, presentations, reports, meeting minutes, and business documents.
- Coordinate internal and external meetings, ensuring all required materials are prepared in advance.
- Follow up on action points and ensure timely completion of assigned tasks.
Coordination & Communication
- Serve as the primary point of contact between the MD and internal departments, business associates, clients, and external stakeholders.
- Coordinate with various business verticals of the Group to monitor progress on key initiatives.
- Ensure effective communication and timely dissemination of important information.
Administrative Management
- Maintain confidential records, files, contracts, and business documents with the highest level of discretion.
- Prepare expense reports, reimbursement statements, and executive documentation.
- Organize business travel, hotel bookings, transportation, and event arrangements.
Business Support
- Assist the MD in tracking ongoing projects, business reviews, and strategic initiatives.
- Conduct research, gather business intelligence, and prepare analytical reports when required.
- Monitor deadlines and ensure timely execution of commitments made by the MD.
Meeting & Event Management
- Schedule board meetings, leadership meetings, and review meetings.
- Record meeting minutes and circulate action trackers.
- Coordinate executive events, conferences, and official functions.
Confidentiality
- Handle highly confidential business information with professionalism and integrity.
- Maintain strict confidentiality regarding company operations, financial information, and strategic discussions.
Eligibility Criteria
Education
- Bachelor's degree in Business Administration, Management, Commerce, or a related field.
- MBA or Postgraduate qualification will be an added advantage.
Experience
- 38 years of experience as an Executive Assistant, Executive Secretary, Personal Assistant, or similar executive support role.
- Experience supporting CXOs, Directors, or Managing Directors is preferred.
- Experience in the Automobile, Corporate, Manufacturing, or Infrastructure industry will be an added advantage.
