Qualifications

  • Bachelor's degree preferred or equivalent professional experience in business administration/management.
  • Proven experience as an Executive Assistant or similar role supporting senior executives.
  • Proficiency in Microsoft Office Suite and virtual meeting platforms.
  • Excellent written and verbal communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • High level of professionalism, discretion and confidentiality.
  • Ability to work independently and under pressure while meeting deadlines.

Responsibilities

  • Manage the Director's calendar, schedule appointments, meetings, and travel arrangements.
  • Prepare correspondence, reports, presentations, meeting agendas, and minutes.
  • Screen and prioritize emails, phone calls, and other communications for the Director.
  • Coordinate executive meetings, board meetings, and special events.
  • Monitor deadlines and follow up on action items to ensure timely completion.
  • Maintain confidential records, files and sensitive information with discretion.
  • Liaise with internal departments, clients, vendors and external stakeholders.
  • Assist in planning, coordinating and implementing strategic projects and initiatives.
  • Prepare expense reports, process invoices and manage administrative budgets as required.
  • Organize domestic and international travel, including itineraries and logistics.
  • Conduct research and compile data to support executive decision-making.
  • Handle office administration tasks and provide support for executive operations.
  • Perform other duties as assigned by the Director.
