Job Summary
The Executive Assistant to the Director provides high-level administrative and operational support to ensure the efficient functioning of the Director’s office. This role requires exceptional organizational skills, discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Executive Support
- Manage the Director’s calendar, schedule appointments, and coordinate meetings
- Screen calls, emails, and correspondence on behalf of the Director
- Prepare reports, presentations, briefing notes, and documents
- Handle confidential information with discretion and professionalism
Communication & Coordination
- Serve as the primary point of contact between the Director and internal/external stakeholders
- Coordinate communication across departments
- Draft, review, and edit correspondence and official communications
- Organize and prepare materials for meetings, conferences, and events
Administrative & Operational Support
- Arrange travel, accommodation, and itineraries
- Track deadlines, follow up on action items, and ensure timely completion of tasks
- Maintain filing systems (electronic and physical)
- Support budgeting, expense tracking, and invoice processing
Project & Office Management
- Assist in special projects and strategic initiatives
- Monitor project timelines and progress reports
- Improve administrative processes for greater efficiency
- Support office management tasks as required
Qualifications & Skills
Education & Experience
- Bachelor’s degree in Business Administration or related field (preferred)
- 3–5 years of experience supporting senior executives
Skills & Competencies
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities
- High level of discretion and confidentiality
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Ability to multitask and prioritize effectively
