Executive Assistant to CEO
Executive Office | 12 Years Experience | Full-Time
About the Role
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to the CEO to support the CEO in managing day-to-day priorities, business coordination, communication, and execution. In this role, you will work closely with the CEO and senior stakeholders to ensure effective follow-up, timely execution of key initiatives, and smooth coordination across teams.
The role requires strong communication, ownership, confidentiality, and the ability to manage multiple priorities in a fast-paced business environment.
Key Responsibilities
- Manage the CEO's calendar, meetings, appointments, and business commitments
- Coordinate internal and external meetings, including agendas, schedules, documents, and follow-ups
- Attend key meetings, prepare Minutes of Meetings (MoM), and track action items to closure
- Coordinate with department heads and teams to collect updates and monitor key business activities
- Maintain trackers for CEO priorities, projects, action items, deadlines, and pending activities
- Follow up independently with stakeholders and proactively highlight delays, dependencies, and critical issues
- Prepare MIS, status reports, presentations, dashboards, and business summaries for management review
- Support the CEO in coordinating client meetings, business discussions, presentations, and follow-ups
- Draft professional emails, communications, meeting notes, and follow-up messages on behalf of the CEO when required
- Coordinate with clients, consultants, vendors, business partners, and other external stakeholders
- Assist with business travel arrangements, itineraries, meetings, and related coordination
- Maintain organized records and documentation related to the CEO's office and key business activities
- Handle confidential business, financial, employee, client, and organizational information with discretion
- Support the CEO in tracking strategic initiatives and ensuring timely execution across functions
- Perform additional responsibilities and special projects as assigned by the CEO
Required Skills & Qualifications
- MBA/Post Graduate with 1-2 years of experience as an Executive Assistant, Management Coordinator, Business Coordinator, or similar role supporting senior management
- Prior experience working directly with a CEO, Managing Director, Director, or Business Head is preferred
- Excellent verbal and written communication skills
- Strong proficiency in MS Excel, PowerPoint, Word, Outlook, and Microsoft Teams
- Strong organizational, time-management, and multitasking abilities
- Excellent follow-up and task-tracking skills
- Ability to prepare MIS, trackers, presentations, and management reports
- Strong attention to detail and accuracy
- Ability to handle confidential and sensitive information professionally
- Strong interpersonal and stakeholder management skillsAbility to work independently, prioritize tasks, and meet deadlines
- Strong problem-solving and coordination skills
Good to Have
- Experience in consulting, IT, financial services, or professional services organizations
- Exposure to business operations, project coordination, or management reporting
- Experience coordinating with clients, senior management, consultants, and external stakeholders
- Familiarity with CRM, project management, or task-tracking tools
- Basic understanding of finance, business operations, or consulting environments
- Strong presentation and business communication skills
- Experience supporting strategic initiatives or special projects
What You Will Work On
You will work closely with the CEO across a wide range of business and organizational priorities. This includes executive coordination, management reporting, meeting and action tracking, stakeholder communication, business follow-ups, client coordination, and strategic initiatives.
You will have exposure to different functions across the organization and will play an important role in ensuring that key priorities and decisions are translated into timely execution.
