Responsibilities

  • Manage the executive’s calendar, scheduling, reminders, meeting preparation, and follow‑up tasks.
  • Coordinate calls, meetings, site visits, trainings, events, vendor appointments, client appointments, and stakeholder engagements.
  • Prepare agendas, meeting notes, action items, correspondence, reports, memos, forms, and other professional documents.
  • Draft, proofread, and organize emails, letters, proposals, presentations, meeting materials, and administrative communications.
  • Maintain organized digital files, folders, contact lists, shared drives, project records, and administrative systems.
  • Track deadlines, deliverables, invoices, applications, contracts, renewals, compliance items, and follow‑up assignments.
  • Provide general executive support to improve the principal’s daily workflow, communication flow, and overall productivity.
  • Conduct outbound calls to prospects, property owners, clients, vendors, program participants, partners, and other contacts.
  • Support lead generation campaigns connected to real estate, housing, property acquisition, leasing, sales, events, programs, and business development.
  • Follow up with leads consistently through phone, email, text, CRM tasks, and scheduled touchpoints.
  • Help qualify leads, gather key information, document contact history, and move prospects through the appropriate pipeline.
  • Support lead conversion by maintaining timely communication, scheduling appointments, preparing follow‑up materials, and tracking next steps.
  • Assist with sales scripts, call lists, outreach templates, intake forms, and campaign workflows.
  • Maintain a professional, confident, and personable communication style when speaking with clients, partners, property owners, vendors, and community members.
  • Maintain and update CRM systems, property databases, contact records, lead pipelines, project trackers, and digital dashboards.
  • Enter, clean, organize, and manage data related to property owners, clients, leads, stakeholders, vendors, funders, partners, contractors, and project contacts.
  • Support CRM workflows, automations, task reminders, lead stages, contact segmentation, tagging, reporting, and campaign tracking.
  • Use technology platforms to improve follow‑up, visibility, accountability, and decision‑making.
  • Assist with digital intake systems, online forms, campaign lists, email lists, registration platforms, and reporting tools.
  • Maintain data accuracy, consistency, and timely updates across all systems.
  • Conduct skip tracing to locate property owners, heirs, responsible parties, sellers, landlords, tenants, vendors, or other real estate contacts.
  • Support property research using public records, tax records, parcel data, GIS tools, property databases, online research platforms, and other available resources.
  • Assist with basic property evaluation tasks, including gathering property facts, ownership information, parcel details, tax status, occupancy indicators, code enforcement information, neighborhood context, and comparable property information.
  • Help prepare property files, owner contact sheets, acquisition notes, disposition trackers, due diligence checklists, and property research summaries.
  • Support real estate transaction, acquisition, leasing, listing, development, and property management workflows as needed.
  • Support email marketing and campaign management using tools such as Mailchimp, Constant Contact, or similar platforms.
  • Prepare and send newsletters, event reminders, campaign emails, registration updates, stakeholder communications, and follow‑up messages.
  • Maintain segmented outreach lists for clients, leads, property owners, event attendees, partners, vendors, program participants, and community stakeholders.
  • Assist with direct mail campaigns, mail merge projects, mailing lists, labels, postcards, letters, owner outreach, and follow‑up tracking.
  • Coordinate communication campaigns that support lead generation, property outreach, events, trainings, programs, and organizational visibility.
  • Support event planning, registration, attendance tracking, logistics, reminders, materials preparation, and post‑event follow‑up.
  • Use tools such as Eventbrite, Mailchimp, Constant Contact, SessionLab, Google Forms, Typeform, Canva, Zoom, Google Workspace, Microsoft Office, and other event or training platforms.
  • Assist with training materials, participant lists, sign‑in sheets, certificates, follow‑up surveys, digital toolkits, and session logistics.
  • Coordinate speakers, attendees, vendors, venues, sponsors, partners, and internal team members as needed.
  • Provide administrative and operational support before, during, and after events, workshops, trainings, and community sessions.
