Job summary

Services International is seeking an experienced events professional to lead end-to-end exhibitions and conferences in Delhi. You will plan, coordinate, and execute all operational aspects from pre-show to post-show, ensuring flawless delivery.

The role requires strong vendor management, superb coordination, and hands-on on-site leadership. You will collaborate with sales, marketing, and design teams, liaise with exhibitors, manage budgets, and ensure safety and compliance during high-pressure

Qualifications

  • Strong understanding of event and exhibition operations.
  • Excellent vendor negotiation and coordination skills.
  • Proficiency in MS Office, especially Excel and PowerPoint; familiarity with CAD drawings is an advantage.
  • Strong organizational, multitasking, and problem-solving abilities.
  • Ability to handle pressure and work on tight deadlines.
  • Excellent interpersonal and communication skills.
  • Willingness to travel and work flexible hours during event schedules.

Responsibilities

  • Plan, coordinate, and execute all operational aspects of exhibitions and events from pre-show to post-show.
  • Prepare detailed project timelines, layouts, and execution plans with internal teams.
  • Liaise with venue authorities for layout approvals, logistics, utilities, and permissions.
  • Identify, evaluate, and coordinate with vendors for fabrication, branding, logistics, and services.
  • Negotiate and finalize vendor contracts within approved budgets.
  • On-site management: oversee setup, dismantling, and daily operations.
  • Supervise contractors, manage manpower, and troubleshoot issues in real time.
  • Ensure safety, security, and venue regulation compliance.
  • Coordinate with exhibitors for booth requirements and logistics.
  • Maintain clear communication with stakeholders to ensure flawless execution.
  • Assist in preparing operational budgets and maintain vendor agreements.

Role & responsibilities
Key Responsibilities:(Minimum 15 years of experience)
1. Event Planning & Coordination
  • Plan, coordinate, and execute all operational aspects of exhibitions and events from pre-show to post-show.
  • Prepare detailed project timelines, layouts, and execution plans in coordination with internal teams.
  • Liaise with venue authorities for layout approvals, logistics, utilities, and permissions.
2. Vendor & Partner Management
  • Identify, evaluate, and coordinate with vendors for fabrication, branding, logistics, electrical, and other event-related services.
  • Ensure timely delivery of materials and adherence to quality standards.
  • Negotiate and finalize vendor contracts within approved budgets.
3. On-site Management
  • Oversee exhibition setup, dismantling, and daily operations to ensure smooth functioning.
  • Supervise contractors, manage manpower, and troubleshoot operational issues in real time.
  • Ensure compliance with safety, security, and venue regulations.
4. Coordination with Stakeholders
  • Work closely with sales, marketing, conference, and design teams for operational deliverables.
  • Coordinate with exhibitors for booth requirements, logistics, and support.
  • Maintain clear communication with all internal and external stakeholders to ensure flawless execution.
5. Budgeting & Documentation
  • Assist in preparing operational budgets and ensure adherence to financial guidelines.
  • Maintain accurate records, vendor agreements, and event reports.
  • Support post-event analysis, vendor evaluation, and continuous process improvement.
Preferred candidate profile
  • Strong understanding ofevent and exhibition operations.
  • Excellentvendor negotiationandcoordination skills.
