Job summary

Ross Process Equipment is seeking a proactive Spare Parts Sales Executive to independently manage enquiries, quotes, orders, dispatch, invoicing and payment follow-ups, ensuring the complete spare parts sales cycle and high customer satisfaction.

The role requires reading engineering drawings and BOMs, coordinating with engineering, service, purchase, production and stores, preparing techno-commercial quotations, tracking orders, and timely delivery.

Role & responsibilities

Looking for a potential candidate who can independently manage customer spare parts enquiries, quotation preparation, order processing, dispatch coordination, invoicing, and payment follow-up. The candidate should be capable of handling the complete spare parts sales cycle and ensuring excellent customer support while achieving spare parts business targets.

• Receive and manage customer enquiries related to spare parts and after-sales requirements.
• Identify and understand customer spare parts requirements based on machine drawings, BOMs, manuals, equipment records, and previous supply history.
• Coordinate with Engineering, Service, Purchase, Production, and Stores departments for technical clarification and spare part identification.
• Prepare and submit techno-commercial quotations within the required timelines.
• Follow up with customers for quotation status, technical clarifications, negotiations, and purchase order conversion.
• Review customer purchase orders and coordinate internally for order acceptance and execution.
• Coordinate with Purchase, Stores, Production, Engineering, and Service teams to ensure timely availability and delivery of spare parts.
• Monitor order progress from receipt of purchase order through dispatch and delivery.
• Coordinate with customers regarding delivery schedules, dispatch documentation, and commercial requirements.
• Coordinate with Finance for invoice submission and outstanding payment follow-up.
• Ensure timely collection of payments and maintain proper records of customer commitments.
• Maintain enquiry, quotation, order execution, invoice, dispatch, and payment recovery trackers.
• Generate monthly MIS reports related to enquiry conversion, sales performance, outstanding orders, and receivables.
• Identify recurring spare parts requirements and business opportunities from existing customer installations.
• Support achievement of annual spare parts sales and after-sales revenue targets.
• Maintain accurate records of customer communication, quotations, purchase orders, invoices, and payment follow-ups.
• Perform additional duties related to after-sales and spare parts business as assigned by the Head - Projects & Services.

Preferred candidate profile

• Knowledge of industrial equipment spare parts identification and commercial handling.
• Ability to read and understand engineering drawings, BOMs, manuals, and spare parts documentation.
• Hands-on experience in quotation preparation, order processing, customer follow-up, and payment collection.
• Strong coordination skills with cross-functional departments including Engineering, Production, Purchase, Stores, Service, and Finance.
• Working knowledge of MS Excel, Word, Outlook, and PowerPoint.
• SAP ERP knowledge will be an added advantage.
• Good communication and negotiation skills.
• Strong customer handling and relationship management skills.
• Ability to multitask, prioritize, organize, and adhere to timelines.
• Professional attitude and willingness to work as part of a team.
• Ability to simultaneously handle multiple customer enquiries and order execution activities.
