Job summary

East Village Bakers is seeking a dispatch coordinator to streamline daily dispatches across routes and delivery schedules. You will verify quantities, SKUs, batches and expiry dates, ensuring FIFO/FEFO compliance for bread products and timely, damage-free loading.

You will collaborate with production, warehouse, sales and transport teams, prepare invoices and loading sheets, maintain dispatch records, and optimise stock movements while upholding hygiene and safety policies.

Qualifications

• Experience coordinating dispatches and logistics in a manufacturing setup.
• Good grasp of inventory reconciliation and stock control processes.
• Proficiency with MS Excel and ERP/dispatch tools for daily reporting.
• Strong communication skills and cross-functional coordination ability.
• Attention to detail on quantities, batches and expiry dates.
• Ability to manage multiple dispatches and tight schedules.

Role & responsibilities

• Plan and coordinate daily dispatches as per sales orders and delivery schedules.
• Prepare dispatch plans based on route, customer requirements, and vehicle availability.
• Ensure correct quantity, SKU, batch, and expiry details before loading.
• Follow FIFO/FEFO practices, especially for short-shelf-life bread products.
• Coordinate with production, warehouse, sales, and transport teams.
• Prepare invoices, delivery challans, loading sheets, and other dispatch documents.
• Supervise loading of products into delivery vehicles to prevent damage or incorrect loading.
• Check vehicle cleanliness and suitability for transporting food products.
• Ensure products are dispatched within the required freshness window.
• Maintain records of dispatched quantities, returns, shortages, damages, and rejected products.

• Coordinate with drivers and delivery personnel regarding routes and delivery schedules.
• Monitor vehicle departure and delivery status.
• Handle distributor/customer complaints related to quantity, product, or dispatch discrepancies.
• Reconcile physical stock with dispatch records and report discrepancies.
• Maintain daily dispatch reports and update ERP/software/system records.
• Coordinate timely return of unsold/expired/damaged bread as per company policy.
• Ensure compliance with company hygiene, food-safety, and workplace-safety procedures.
• Support stock verification and periodic physical inventory activities.

Preferred candidate profile

• Good knowledge of dispatch, warehouse, and logistics operations.
• Basic knowledge of inventory management and stock reconciliation.
• Working knowledge of MS Excel and ERP/dispatch software.
• Good communication and coordination skills.
• Ability to work in a fast-paced manufacturing environment.
• Good attention to detail, particularly regarding quantities, batches, and expiry dates.
• Ability to manage multiple dispatches and delivery schedules.
