Job summary

Vilya Technologies in India seeks a procurement support specialist to manage inbound and outbound calls with suppliers and internal teams. You will document interactions, update PO details in the ERP, and help resolve order delays with quick problem-solving.

Tamil language skills are preferred. The role requires 1–3 years in a customer service or call center setting, familiarity with CRM tools and MS Office, and the ability to coordinate across Finance, Warehouse, and Purchasing teams to ensure

• Comfortable handling high-volume inbound calls and proactive outbound follow-ups.

Responsibilities

• Inbound call handling for suppliers, vendors, and internal staff regarding orders, delivery statuses, invoices, and procurement policies.
• Outbound follow-ups to confirm order status, deliveries, pricing, or vendor details.
• Issue resolution for basic supply chain or order delays and routing of complex issues to appropriate team members.
• Data and ticket management: log calls, update PO details in ERP, track issues to resolution.
• Coordinate between vendors and internal departments to ensure clear communication and timely deliveries.

Key Responsibilities

• Inbound Call Handling: Answer incoming calls from suppliers, vendors, and internal staff regarding purchase orders, delivery statuses, invoice queries, and procurement policies.
• Outbound Call Follow-ups: Make outbound calls to suppliers and vendors to confirm order status, follow up on pending deliveries, verify pricing, or update vendor details.
• Issue Resolution: Troubleshoot basic supply chain or order delays and route complex procurement issues to the appropriate team members.
• Data & Ticket Management: Maintain accurate logs of all inbound and outbound calls, update purchase order details in our internal portal/ERP system and track open issues until resolution.
• Stakeholder Communication: Coordinate between vendors and internal departments (e.g., Finance, Warehouse, Purchasing) to ensure clear communication and timely deliveries.

Key Requirements

• Experience: 1-3 years of experience in a customer service, call center, or support role (experience supporting procurement, supply chain, or vendor management is a plus).
• Communication Skills: Excellent verbal and written Tamil communication skills with a professional telephone manner.
• Call Handling: Comfortable managing high-volume inbound calls and making proactive outbound follow-up calls.
• Problem-Solving: Strong basic analytical and quick problem-solving abilities.
• Technical Proficiency: Familiarity with basic office software (MS Office/Excel), CRM tools.
• Languages - Tamil, Kannada Preferable
