Job summary

Ics Realty is seeking a Fitout Manager in Jaipur to lead end-to-end fitout planning, coordination and execution at project sites. The role requires coordinating with clients, designers, contractors and internal teams to ensure delivery within time, budget and quality standards.

The incumbent will head the fitout coordination team, ensure documentation and handover, and manage civil, interior, MEP activities in line with approved designs.

Qualifications

• Degree or Diploma in Civil Engineering or Interior Design is required.
• Experience in fitout management or related construction activities is preferred.

Responsibilities

• Coordinate with clients, designers, contractors and internal teams for smooth fitout execution.

• Lead a team of civil, MEP, CRM/fitout engineers and draftsmen.
• Prepare daily, weekly and monthly fitout progress reports and dashboards.

POSITION SUMMARY

The Fitout Manager will be responsible for the end-to-end planning, coordination and management of fitout activities at the project site, ensuring completion within approved timelines, quality standards and project guidelines.

The role will involve coordination with clients, designers, contractors, consultants, internal departments and project teams, along with effective management of civil, interior, MEP and related fitout activities.

The incumbent will lead the fitout coordination team and ensure smooth execution, documentation, handover and closure of all fitout-related activities.

KEY RESPONSIBILITIES

1. Fitout Planning & Execution

• Plan, coordinate and monitor all fitout activities at the project site.
• Ensure project milestones are achieved as per the approved schedule.
• Monitor civil, interior, MEP, fixtures and allied fitout works.
• Ensure execution is carried out as per approved designs, drawings, specifications and SOPs.
• Conduct regular site inspections and monitor progress against planned schedules.
• Identify delays, technical issues and execution challenges and initiate corrective action.

2. Quality & Compliance

• Ensure fitout work meets defined quality standards and project specifications.
• Conduct regular quality checks and ensure adherence to approved drawings and guidelines.
• Ensure contractors comply with project rules, safety requirements and site protocols.
• Coordinate with MEP teams to ensure technical requirements are properly implemented.
• Identify and report deviations/non-compliances and ensure timely closure.

3. Client / Stakeholder Management

• Coordinate with clients, designers, consultants and contractors for fitout execution.
• Conduct site briefings and explain project guidelines, processes and timelines.
• Maintain effective communication with all stakeholders throughout the fitout cycle.
• Address client queries and coordinate resolution of project-related issues.
• Ensure smooth coordination between internal and external stakeholders.

4. Design & Technical Coordination

• Coordinate with Design & Engineering teams for design approvals and technical clarifications.
• Review drawings and ensure site execution is aligned with approved designs.
• Coordinate with civil, interior and MEP engineers, consultants and draftsmen.
• Ensure all required technical submissions and approvals are completed within timelines.

5. Cost & Variation Management

• Monitor project-related fitout costs.
• Identify additional works, variations and extra-cost items during execution.
• Coordinate with relevant stakeholders for approval of additional work.
• Maintain proper records of approved variations and associated costs.

6. Documentation & Handover

• Ensure complete documentation throughout the fitout lifecycle.
• Prepare and maintain checklists, certificates, approvals and completion records.
• Ensure proper closure of design, technical, compliance and fitout documentation.
• Maintain as-built drawings and relevant project records.
• Coordinate final inspection, snag closure and handover to the concerned operations/facility team.

7. Team Management

• Lead and coordinate the team of Civil, MEP, CRM/fitout engineers and draftsmen.
• Allocate responsibilities and monitor individual/team performance.
• Conduct regular review meetings to track progress and resolve issues.
• Ensure effective coordination between various project disciplines.

8. MIS & Reporting

• Prepare and submit daily, weekly and monthly fitout progress reports.
• Track project progress against approved schedules.
• Prepare project dashboards, trackers and MIS reports.
• Highlight critical delays, risks, deviations and pending approvals to senior management.
• Maintain tower/project-wise or area-wise progress tracking wherever applicable.
