Job summary

Position Overview: The Senior Executive - Facilities is responsible for overseeing and managing the day-to-day operations of facilities within an organization. They are responsible for ensuring that the facilities are well-maintained, safe, and conducive to the needs of employees and visitors. This role involves managing a range of functions, including facility maintenance, vendor management, space planning, budgeting, and coordinating facility-related projects.

Key Responsibilities:
  • Facility Operations and Maintenance: Oversee the operation and maintenance of buildings, equipment, and systems to ensure their efficient functioning. Coordinate and manage facility repairs, preventive maintenance, and inspections to address any issues promptly. Monitor the performance of facility systems, such as HVAC, electrical, plumbing, and security, and take corrective action when necessary. Maintain records of maintenance activities, equipment inventory, and warranties.
  • Vendor Management: Identify, evaluate, and select vendors and contractors for facility-related services, including maintenance, repairs, cleaning, security, and landscaping. Negotiate contracts and service agreements, ensuring compliance with quality standards and budgetary requirements. Manage vendor relationships, including conducting regular performance reviews and addressing any areas of concern.
  • Space Planning and Utilization: Collaborate with various stakeholders to determine space requirements and develop effective space plans. Optimize space utilization and ensure efficient layouts to maximize functionality and accommodate changing business needs. Coordinate office moves, reconfigurations, and renovations, ensuring minimal disruption to operations.
  • Budgeting and Financial Management: Assist in the development and management of the facility budget, including forecasting expenses and tracking costs. Monitor facility-related expenses and identify opportunities for cost optimization and efficiency improvements. Review and approve invoices, ensuring accuracy and adherence to budgetary guidelines.
  • Health, Safety, and Compliance: Ensure compliance with health, safety, and environmental regulations, including fire safety, building codes, and emergency preparedness. Implement and monitor safety protocols, procedures, and training to maintain a safe and healthy work environment. Conduct regular inspections to identify potential hazards and ensure corrective actions are taken.
  • Project Management: Coordinate and manage facility-related projects, such as renovations, expansions, or equipment installations. Develop project plans, including timelines, budgets, and resource allocation. Collaborate with internal teams and external stakeholders to ensure successful project execution.
  • Stakeholder Management: Interact with internal stakeholders, including employees, department heads, and senior management, to understand their needs and address their concerns. Provide exceptional customer service and respond to facility-related inquiries in a timely manner. Communicate updates, changes, and relevant information to stakeholders regarding facility operations and projects.
