Job summary

Nibe Defence is seeking an experienced HR professional to manage end-to-end payroll, maintain accurate employee records, and handle payroll-related queries. The role focuses on timely payroll processing and ensuring compliance with statutory requirements.

The ideal candidate will have strong knowledge of PF, ESIC, PT, TDS, and related payroll processes, with hands-on experience in HRMS/payroll software and a keen eye for detail. This is a full-time Pune-based position.

Qualifications

  • Experience in payroll processing and statutory compliance.
  • Knowledge of PF, ESIC, PT, TDS, and gratuity.
  • Proficient with MS Excel including VLOOKUP/XLOOKUP.
  • Experience with HRMS/payroll software such as GreytHR, Keka, SAP, Workday.
  • Ability to maintain confidentiality of salary data.

Responsibilities

  • Manage the end-to-end monthly payroll process.
  • Collect and verify attendance, leave, LOP, overtime, incentives, and other payroll inputs.
  • Calculate monthly salaries, deductions, reimbursements, and other employee payments.
  • Handle statutory compliances including PF, ESIC, PT, TDS, Gratuity, etc.
  • Prepare and verify salary slips and payroll-related reports.
  • Coordinate with the Finance/Accounts team for monthly salary processing and disbursement.
  • Handle employee queries related to salary, deductions, PF, ESIC, tax, and other payroll matters.
  • Manage Full & Final Settlement (F&F) for exiting employees.
  • Maintain accurate and confidential employee payroll and compensation records.
  • Ensure timely updating of employee data in the HRMS/payroll system.
  • Assist with Form 16, tax declarations, investment proofs, and other annual payroll activities.

Job Description

We are looking for an experienced HR professional with strong knowledge of payroll processing, statutory compliance, and HR operations. The candidate will be responsible for ensuring accurate and timely payroll processing while maintaining employee records and handling payroll-related queries.

Key Responsibilities
  • Manage the end-to-end monthly payroll process.
  • Collect and verify attendance, leave, LOP, overtime, incentives, and other payroll inputs.
  • Calculate monthly salaries, deductions, reimbursements, and other employee payments.
  • Handle statutory compliances including PF, ESIC, Professional Tax (PT), TDS, Gratuity, etc.
  • Prepare and verify salary slips and payroll-related reports.
  • Coordinate with the Finance/Accounts team for monthly salary processing and disbursement.
  • Handle employee queries related to salary, deductions, PF, ESIC, tax, and other payroll matters.
  • Manage Full & Final Settlement (F&F) for exiting employees.
  • Maintain accurate and confidential employee payroll and compensation records.
  • Ensure timely updating of employee data in the HRMS/payroll system.
  • Assist with Form 16, tax declarations, investment proofs, and other annual payroll activities.
  • Prepare payroll MIS and other HR reports as required.
  • Ensure compliance with applicable labour laws and company policies.
  • Coordinate with external consultants, payroll vendors, and statutory authorities whenever required.
Required Skills
  • Strong knowledge of payroll processing and statutory compliance.
  • Good understanding of PF, ESIC, PT, TDS, LOP, Gratuity, and F&F.
  • Good knowledge of MS Excel, including VLOOKUP/XLOOKUP, Pivot Tables, and formulas.
  • Hands-on experience with HRMS/payroll software such as GreytHR, Keka, SAP, Workday, etc.
  • Strong numerical and analytical skills.
  • Good attention to detail and accuracy.
  • Ability to maintain confidentiality of employee salary information.
  • Good communication and interpersonal skills.
Qualification & Experience
  • Bachelors degree in HR, Commerce, Business Administration, or a related field.
  • Relevant experience in payroll and HR operations.
  • Experience in handling payroll for a large employee base will be an added advantage.
