Job description

TheOnboarding Admin Assistant Manager is responsible for ensuring Tier IIOnboarding Analysts tasks (e.g., transaction support, background, drugscreens, etc.) are completed in an accurate, timely, and efficient manner andin full compliance with all legislative requirements and company policies.The Assistant Manager will provide support to the Tier II analysts as neededand work under direction from the Onboarding Manager to ensure HR service deliveryis consistently high-quality while also improving advanced onboardingactivities. The Assistant Manager will collaborate with the Manager andDirector in continuous process review of work streams, educate staff on newprocesses, triage escalations from stakeholders, and deliver data requests asnecessary. Under direction of the manager, the Assistant Manager will alsodrive and/or assist with key projects across the service group. Therole delivers service to managers, staff, HR, employees, and other leadersacross the organization; resolves escalated issues and ensures compliancewith HR policies, service level agreements, and established procedures.

Responsibilities:
PerformanceReporting & Insights
  • Assist manager with staffinglevels for the department
  • Review and analyze team metrics onan ongoing basis to help continuously improve service centeroperations
  • Perform quality assurance checkson employee transactions
  • Work with Human Resources staff torecruit, interview, select, hire, and employ an appropriate number ofemployees.
  • Provide oversight and direction toemployees in accordance with the organization's policies andprocedures
  • Coach, mentor and develop staff,to include overseeing new employee onboarding tasks and providing careerdevelopment planning and opportunities.
  • Lead staff using a performancemanagement and development process that provides an overall context andframework to encourage employee contribution and includes goal setting,feedback, and performance development planning.
  • Foster a spirit of teamwork andunity among department members that allows for disagreement over ideas,conflict and expeditious conflict resolution, and the appreciation ofdiversity as well as cohesiveness, supportiveness, and workingeffectively together to enable each employee and the department tosucceed.
  • Appropriately communicateorganization information through department meetings, one-on-onemeetings, appropriate email, and regular interpersonalcommunication.
  • Provide excellent customerservice by responding to online inquiries from employees and managers atall levels and resolve questions/issues by accessing information inmultiple systems on the computer.
  • Oversee special projects and otherduties as needed.
OperationalSupport & Process Improvement
  • Applies Agile methodologies andcontinuous process improvement practices, including Lean, Six Sigma, andother frameworks, to evaluate workflows, identify inefficiencies androot causes, prioritize opportunities, and implement sustainable processand service delivery improvements.
  • Leverages advanced analytics(e.g., predictive modeling, machine learning, data mining, prescriptiveanalysis, visualization), artificial intelligence (AI), and emergingtechnologies to forecast trends, generate actionable insights, automateand streamline processes, expand self-service capabilities, and identifyinnovative solutions that enhance the employee, candidate, and HR userexperience.
  • Map current workflows, documentprocedures, and recommend improvements that reduce manual effort andimprove cycle time, quality, or service.
  • Track operational action items,follow through on open issues, and coordinate with stakeholders toensure timely completion of deliverables.
  • Support implementation of newtools, reporting enhancements, process controls, or business initiativesthrough testing, documentation, and adoption activities.
Cross-FunctionalPartnership
  • Partners with Staff, COE’s, ITG,Talent Acquisition, HRIS, HR Business Partners, Managers, Employees, andother HROC Service Group leaders.
DataQuality, Governance & Compliance
  • Will utilize GHR, Lawson, ATS, PreCheck, OC Tool, Case Management, Outlook Mailboxes and adhere tointernal policies, confidentiality standards, and documentationrequirements while handling business information and sensitivedata.
