Position Summary:
The Admin/HR Executive will be responsiblefor managing daily office administration, coordinating facilities and vendors,maintaining employee and administrative records, and supporting key HRactivities.
The role requires strong organisationalskills, attention to detail, professional communication, and the ability toensure smooth office operations while providing timely support to employees andmanagement.
Primary Responsibilities:
- Manage day-to-day officeadministration and ensure that office facilities, supplies, and supportservices are available and functioning properly.
- Coordinate housekeeping,pantry, security, office cleanliness, and routine maintenance activities.
- Handle incoming calls,visitors, couriers, and general administrative enquiries professionally.
- Maintain stock records forstationery, pantry supplies, housekeeping materials, and other officeconsumables; arrange replenishment within approved budgets.
- Obtain vendor quotations,prepare comparisons, and coordinate approved purchases and servicearrangements.
- Follow up with vendors fortimely delivery, satisfactory service, invoice submission, and resolution ofpending issues.
- Maintain records of officeassets, including laptops, mobile phones, furniture, and equipment, along withissue, return, and acknowledgement records.
- Coordinate repairs andservicing of office equipment, furniture, electrical systems, internetconnections, and other facilities.
- Track utility bills,subscriptions, maintenance contracts, and service renewal dates; submit paymentrequests to Accounts on time.
- Verify administrative billsagainst approved purchases or completed services and maintain supportingdocuments.
- Coordinate joining formalities,employee documentation, induction, ID cards, attendance setup, and onboardingrequirements.
- Maintain employee personalfiles, attendance records, leave records, and other HR documentation in anorganised and confidential manner.
- Prepare and maintain employeeletters, confirmation documents, salary-related records, and other HRcorrespondence as authorised.
- Support payroll processing byproviding accurate attendance, leave, new-joiner, exit, and salary-relatedinputs to Accounts or management.
- Coordinate employee exits,including resignation documentation, clearance, asset handover, and exitchecklists.
- Assist in implementing companypolicies, employee communication, engagement activities, and workplacediscipline.
- Maintain updated records ofemployee information, statutory documents, training records, and HR trackers.
- Arrange travel, accommodation,local transport, meetings, and office events as approved by management.
- Maintain organised physical anddigital files for vendors, purchases, assets, employee records, andadministrative correspondence.
- Track assigned tasks, pendingapprovals, expenses, recruitment status, employee requests, and service issues;submit regular reports to the reporting manager.
- Maintain confidentiality ofemployee, salary, business, and company information.
- Follow company policies andescalate delays, employee concerns, or unresolved administrative issuespromptly.
Qualifications
- Graduate in Human Resources,Business Administration, Commerce, Arts, or a related discipline.
- 1–3 years of experience inadministration, HR operations, recruitment coordination, or a similar role.
- Relevant training orcertification in Human Resources, office administration, or payrolladministration will be an advantage.
Other Requirements
Preferred Background
- Experience working in atrading, distribution, healthcare, life-science, manufacturing, or otheroffice-based business.
- Practical experience inrecruitment coordination, employee documentation, attendance and leavemanagement, onboarding, and exit formalities.
- Exposure to vendorcoordination, office purchasing, asset records, and administrative expensetracking.
- Basic understanding of payrollinputs, HR policies, employee records, and workplace compliance requirements.
Other Requirements
- Good written and verbalcommunication skills in English and Hindi.
- Working knowledge of MS Excel,MS Word, Google Sheets, professional email communication, and HR record-keepingsystems.
- Strong organisational skills,attention to detail, and the ability to maintain accurate records.
- Ability to manage multipletasks, prioritise requirements, and follow up until completion.
- Basic ability to comparequotations, verify bills, maintain expense records, and prepare administrativereports.
- Professional and approachablebehaviour when dealing with employees, candidates, visitors, vendors, andservice providers.
- Ability to handle confidentialemployee and company information with discretion and integrity.
- Strong coordination,interpersonal, and problem-solving skills.
- A dependable approach withownership, discipline, and a willingness to support both administrative and HRfunctions.
- Willingness to visit vendors,service centres, or other company locations for authorised administrative orHR-related work when required.
