Job Summary:
We are looking for a proactive and detail-orientedHR Operations & Admin Executiveto join our team. The ideal candidate will support daily HR operations and administrative tasks, with a strong focus onvendor management,office administration, andemployee support. This role is essential in ensuring smooth and efficient internal operations while maintaining strong external vendor relationships.
Key Responsibilities:
HR Operations
- Maintain employee records and HR databases with high accuracy and confidentiality.
- Assist in onboarding, offboarding, and orientation processes.
- Support HR documentation including contracts, policies, and compliance reports.
- Coordinate employee engagement initiatives and internal communication.
- Provide day-to-day support for HR queries from employees.
Administrative Support- Manage daily office operations, including supplies, maintenance, and cleanliness.
- Coordinate calendars, meetings, and travel arrangements for staff as needed.
- Support logistics for training sessions, events, and company functions.
- Ensure compliance with health and safety regulations.
- Identify, evaluate, and liaise with office and HR-related vendors (e.g., travel, housekeeping, recruitment, insurance).
- Negotiate contracts, track service delivery, and ensure adherence to SLAs.
- Process vendor invoices and work with Finance for timely payments.
- Maintain updated records of vendor contacts, contracts, and performance metrics.
- Manage end-to-end L1.2, ICT, and London visa processes for employee international deployments.
- Coordinate with employees and travel agents for flight fare checks, bookings, and cab arrangements .
- Track employees in transit to ensure timely updates and support.
- Handle onshore accommodation arrangements , including apartments and hotel bookings for traveling employees.
Required Skills & Qualifications:- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 2+ years of experience in HR operations, administration, or a similar role.
- Strong organizational and time management skills.
- Proficiency in MS Office (Word, Excel, Outlook).
- Ability to multitask and handle confidential information professionally.
- Prior experience in vendor management is highly desirable.
