• Prepare and issue accurate invoices to customers.

• Review invoice details before submission for accuracy.
• Attach all supporting documents to invoices.
• Maintain timely invoice submission updates in Navision.
• Keep logs of invoice submissions and process documentation.
• Collaborate with payroll and invoicing teams to speed processing.
• Prepare statements of account for customers as needed.
• Reconcile self-billed cases against customer timesheets and resolve discrepancies.
• Manage invoice rejections, credits, and rebills; respond to queries.
• Update account-specific SOPs and invoicing guides.
• Support improvements to invoicing platforms and processes.

What You'll Be Doing

• Invoice Preparation: Prepare and issue accurate invoices to customers in line with company procedures and customer requirements.
• Portal Management: Enter invoices into customer invoicing portals and web-based systems as required.
• Customer Compliance: Understand customer-specific invoicing requirements and ensure adherence to all billing processes.
• Quality Control: Review invoice details thoroughly before submission to ensure accuracy and completeness.
• Documentation Management: Ensure all supporting documents and backup information are attached and submitted with invoices.
• System Updates: Maintain timely and accurate invoice submission updates within Navision.
• Record Keeping: Maintain invoice submission logs and customer invoicing process documentation for audit and reference purposes.
• Team Collaboration: Work closely with payroll and invoicing teams to streamline and accelerate invoice submission activities.
• Account Statements: Prepare and distribute statements of account to customers as required.
• Reconciliation: Reconcile self-billed cases against approved customer timesheets and resolve any billing or payment discrepancies.
• Issue Resolution: Manage invoice rejections, credits, rebills, and related customer queries efficiently.
• Process Documentation: Maintain and update account-specific SOPs and invoicing process guides.

What We're Looking For

• Relevant Experience: Minimum two years of experience in invoicing, billing, OTC, AR.
• Communication Skills: Excellent written and verbal communication skills with the ability to interact professionally with internal and external stakeholders.
• Excel Expertise: Strong proficiency in Microsoft Excel, including formulas, VLOOKUPs, and Pivot Tables.
• Analytical Ability: Strong analytical mindset with a good understanding of business processes and controls.
• Accounting Knowledge: Sound understanding of accounting principles and financial processes.
• Attention to Detail: Excellent accuracy and attention to detail when managing invoicing activities and documentation.
