Job summary

Gilligan Black Recruitment is seeking a Senior Office & Executive Support Manager for a Dublin 2 hybrid role. The position is a temp-to-perm opportunity with a salary between €45k and €55k, depending on experience.

The successful candidate will centralise office management, executive support, technology coordination and event operations to ensure the business runs smoothly. You will partner with senior stakeholders and manage multi-time-zone scheduling with discretion and ownership.

Qualifications

  • At least 5 years' experience in office management, executive assistance or business support within professional services.
  • Excellent MS Office skills, particularly PowerPoint and Excel.
  • A degree in Business Administration or related field is preferred.
  • Proven experience supporting senior stakeholders and handling confidential information.
  • Exceptional organisational skills and proactive problem-solving.

Responsibilities

  • Take ownership of the day-to-day running of the office in a hybrid setup.
  • Coordinate IT and system requirements with external providers to ensure fit-for-purpose technology.
  • Support onboarding of new employees.
  • Maintain robust filing and documentation systems.
  • Provide high-level scheduling and calendar management across multiple time zones.
  • Proactively manage complex diaries and travel arrangements.
  • Prepare emails, documents, presentations, reports and briefing materials.

Senior Office & Executive Support Manager
Temp-to-Perm Opportunity, Dublin 2 (hybrid 1 day from home)
Salary €45-55k, depending on experience

The successful candidate will sit at the heart of the organisation, combining office management, executive support, technology coordination and event operations to ensure the business runs seamlessly.

You will be a proactive problem-solver, trusted partner and natural organiser who anticipates what is needed, takes ownership and consistently looks for ways to improve how things are done.

This role would suit someone who is confident operating with senior stakeholders, comfortable managing competing priorities and able to move effortlessly between strategic coordination and hands-on delivery.

Typical Responsibilities:
  • Take ownership of the day-to-day running of the office, ensuring a professional, efficient and well-organised environment.
  • Coordinate IT & system requirements, liaising with external technology providers to troubleshoot issues and ensure systems and equipment remain effective and fit for purpose.
  • Support the onboarding of new employees.
  • Maintain robust and organised filing and documentation systems.
  • Provide high-level scheduling and calendar management support, coordinating meetings, engagements and travel across multiple time zones.
  • Proactively manage complex diaries, resolving scheduling challenges with discretion and efficiency.
  • Manage correspondence and communications, preparing professional emails, documents, presentations, reports and briefing materials.
You will have:
  • At least 5 years' experience in office management, executive assistance or business support within professional services.
  • Excellent MS Office skills – especially PP and Excel.
  • A degree in Business Administration or related is preferred.
  • Proven experience supporting senior-level stakeholders and managing sensitive or confidential information.
  • Exceptional organisational skills!

You will be someone who notices the detail others miss, anticipates challenges before they become problems and is comfortable taking ownership from start to finish. You will be equally confident coordinating a senior executive's international diary, troubleshooting an urgent technology issue, preparing a client meeting or taking charge of event logistics.
