Position Overview
Our client is seeking an agile, proactive and highly organised Executive Assistant to the CEO who will also play a key role in supporting the wider business.
Along day-to-day EA support, you'll act as a trusted, highly discreet point of contact who proactively anticipates needs and navigates changing priorities with sound judgment. In addition to comprehensive executive support for the CEO, you will provide administrative assistance to key operational and regulatory departments, manage end-to-end event coordination and collaborate with the broader Corporate Support team.
Key Responsibilities
Executive Support (CEO)
- Proactively manage and optimise the CEO’s calendar.
- Monitor and manage the CEO’s inbox daily and during periods of absence; track progress on key action items across stakeholders to ensure timely follow-through.
- Serve as a primary point of contact for internal and external stakeholders, building strong, professional relationships.
- Manage expenses, travel arrangements and administrative duties for the CEO.
Corporate & Departmental Support
- Provide administrative assistance to designated business and compliance teams, including calendar management for senior team leads, travel logistics and client visit coordination.
- Drive continuous improvement across corporate support functions, leveraging digital tools and AI solutions for efficiency.
- Coordinate Board and Committee schedules well in advance. Maintain and update key internal corporate policies (e.g., Travel & Entertainment).
- Manage end-to-end hospitality for guests, liaise with facility management, manage shared inboxes/calendars and coordinate team celebrations.
Event Coordination
- Plan, execute, and report on key internal and external events (e.g., Annual Planning Meetings, Quarterly Company Meetings, Senior Leadership workshops, Board meetings, client events, and team-building activities).
- Source venues, inspect sites, negotiate rates, manage event budgets and prepare proposal options for leadership approval.
- Manage all operational messaging and attendee communication for corporate events.
Key Qualifications & Skills
- Minimum 5 years' proven experience as an Executive Assistant supporting C-Suite
- Deep background within Professional Services, Reinsurance, Insurance, Financial Services or similar
- Professional qualification in Business Administration, Office Management, or a related field is preferred.
- Exceptional composure, tact and adaptability when managing fast-changing schedules or high-pressure situations
- Rigorous organisation, high attention to detail and a proactive approach that anticipates executive needs
- Uncompromising discretion, integrity and sound judgment in handling sensitive corporate information
- Polished, articulate written and verbal communication skills for interfacing with board members, senior leadership and external clients
- Strong technical proficiency in Microsoft 365 and executive tools, with an eagerness to leverage modern digital tools and AI to streamline workflows
- Relevant tertiary qualification or professional certification in Business Administration or Office Management
An attractive compensation package includes a base salary between €55,000-€60,000 DOE, and competitive performance-related bonus; In addition to your salary and bonus, additional benefits apply such a pension contributions, medical cover and other perks apply.
